About the role

The Academic Administrative Assistant supports department chairs, program directors, and faculty. They provide administrative support to ensure efficient operation of the Office of the Provost and Dean of the College. This position reports to the Academic Administrative Supervisor and supervises student workers.

Responsibilities

  • Support department chairs, program directors, and faculty.
  • Provide administrative support to ensure efficient operation of office.
  • Maintain accurate budget records and reconcile budgets.
  • Aid in accessing, manipulating, and preparing presentation data for departmental and program planning, assessment, accreditation, and grant writing.
  • Assist with tenure-track and term faculty recruitment and hiring.
  • Avoid class & lab schedule design.
  • Provide orientation for faculty, basic classroom technology support, course materials as requested, and travel coordination.
  • Liaise with IT and perform basic troubleshooting for faculty members.
  • Oversee organization of department, keep records, order supplies, maintain equipment, manage bulletin boards and shared spaces.
  • Maintain department website, social media, and newsletter.
  • Advertise student opportunities and organize materials.
  • Assist with logistics, preparations, and publicity for meetings and events.
  • Hire, train, supervise, and approve timesheets for student workers including tutors and teaching assistants.
  • Collaborate and maintain relations with departments across campus.
  • Report building concerns and needs to Facilities.
  • Attend Academic Administrative Assistant (AAA) meetings and training sessions.
  • Provide support to and serve as a backup to other AAAs, departments, and programs as needed.

Qualifications

  • Education: High school diploma or equivalent.
  • Experience: 1+ year of office or administrative experience, or relevant experience.
  • Preferred Qualifications: Bachelor’s Degree, 3+ years office or administrative experience; experience working in an academic environment.

Benefits

The Academic Administrative Assistant position is salaried, non-exempt, and eligible for overtime compensation. The position is part-time, mid-August to mid-June, with a standard 40-hour work schedule during the academic year. The position is on-campus only, and the salary is $38,844. The position requires accurate record-keeping of all hours worked and adherence to the Fair Labor Standards Act (FLSA) and College policy regarding overtime compensation.
