Maintain Ledger and Activity Account Records

The secretary is responsible for maintaining ledger and all activity account records in accordance with Board Policy and state law.

Monthly and Annual Summary

Provide monthly and annual summary of activity fund to the Principal and the Chief Financial Officer.

Purchase Orders

  • Maintain purchase order log.
  • Type purchase orders.
  • Ensure adherence to activity account purchasing procedures.

Teacher’s Receipt Books

  • Distribute and maintain records of teacher’s receipt books.

Requisitions and Purchase Orders

  • Process district requisitions.
  • Manage purchase orders.

Inventory Management

  • Order, distribute, and maintain inventory of all supplies for school.

Data Entry and Reports

  • Data entry into Powerschool.
  • Create, prepare, and distribute various reports on Powerschool.

Mail Distribution

  • Sort and distribute inter-office and U.S. mail.
  • Distribute mail and community/district flyers.

File Organization

  • Organizes and maintains various files including confidential student files.

Additional Duties

Additional duties that may be assigned by immediate supervisor or above.

Languages and Grammar Skills

  • Ability to read and comprehend simple instructions, short correspondence and memos.
  • Ability to compose and write grammatically correct correspondence and memos.

Reasoning Ability

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, schedule form, or blueprint form.

Physical Demands

  • Regularly required to use hands to finger, handle, or feel objects, tools, or controls.
  • Reach with hands and arms.
  • Talk or hear.
  • Frequently stand, walk, climb or balance, and stoop, kneel, crouch, or crawl.
  • Occasionally lift and/or move up to or more than 50 pounds.

Work Environment

  • Regularly exposed to fume or airborne particles.
  • Frequent exposure to high, precarious places and in outside weather conditions.
  • Frequent exposure to moving mechanical parts, extreme cold (including outdoors), extreme heat (including direct sunlight), risk of electrical shock and vibration.
  • Varying noise levels from somewhat loud to extremely loud.

Supervisory Responsibilities

Employee may occasionally be required to supervise a varying number of employees in the overall direction, coordination, and completion of tasks as assigned.
