Workplace & Events Coordinator
About the role
We are seeking a Workplace & Events Coordinator to support the efficient operation of our New York office. Reporting to the Office Manager, this role involves coordinating workplace services, facilities support, vendors, meetings, visitors, and office-based events.
Responsibilities
- Support the day-to-day operation of the office, ensuring workplace services, shared spaces, supplies, and facilities needs are coordinated effectively
- Coordinate with building management and external vendors to support maintenance, service delivery, purchasing, and other workplace requirements
- Manage the logistics for meetings, visitors, and approved office-based events, including space, catering, vendors, access, setup, and on-site coordination
- Maintain workplace and event calendars, operational records, invoices, vendor documentation, and other information with accuracy and consistency
- Support office moves, seating changes, workspace readiness, and other workplace projects as business and capacity needs evolve
- Partner with HR, IT, Finance, Security, Legal, and other teams on workplace-related requirements, while identifying issues, anticipating needs, and escalating risks appropriately
- Perform administrative duties such as phone operation including handling telephone calls and relaying messages to appropriate departments or individuals
- Perform administrative duties in SalesForce CRM software such as data entry, client file updates, and ensuring data accuracy
- Perform administrative duties through Outlook using scheduling assist
- Prepare appropriate agendas for meetings and ensure necessary actions are taken to prepare for client meetings in the office
Requirements
2-4 years of experience in workplace operations, office coordination, facilities support, event coordination, hospitality, or a related corporate environment
Strong organizational and prioritization skills, with the ability to manage multiple workstreams and follow through reliably
Excellent judgment, attention to detail, and a practical, solutions-oriented approach
Clear and professional communication skills, with confidence working across employees, senior leaders, visitors, vendors, and building partners
Experience coordinating meetings, vendors, catering, or office-based events, and proficiency with Microsoft Office
Qualifications
High school diploma or equivalent
Basic computer skills, including proficiency with Microsoft Office

Pay
Base salary range: $70,000 USD - $80,000 USD
