Workforce Grants Specialist (Full-Time, Grant-Funded)

About the role
Under the direction of the Director – Corporate Services, the Workforce Grants Specialist performs a wide range of key functions necessary for workforce-specific grant development, grant award execution and management, monitoring, and post-grant evaluation. The Specialist supports the Dean, Directors, and Program Managers to obtain supporting data for grant proposals, analyze data, prepare reports, monitor performance, provide internal audits and recommendations, liaise with clients, and oversee grant deliverables for assigned grant projects. The Specialist oversees the Coordinator and/or administrative support staff grant activities to ensure compliance and timely completion of deliverables, and serves as a point of contact for grant-related inquiries, providing assistance and information to internal and external stakeholders.
Responsibilities
- Assists the Dean, Directors, and Program Managers with workforce and apprenticeship grant applications and RFAs.
- Prepares, routes, and disseminates contracts and proposals on behalf of the Dean, Directors, and Program Managers following College procedures.
- Serves as a point of contact for grant-related inquiries, providing assistance and information to internal and external stakeholders.
- Oversees Coordinator and support staff grant activities and tasks to ensure compliance and timely completion of deliverables; performs coordination tasks as needed.
- Provides weekly and monthly interactions with internal and external grant clients to review performance and account balances.
- Prepares and submits monthly and quarterly reports for assigned grant projects in compliance with funding agency requirements (including TIF, MPR, QPR, and other reports).
- Performs accurate and timely data entry into the state reporting system and maintains supporting documentation.
- Prepares monthly performance reports, revenue reports, and statements for internal and external clients, the Dean, Directors, and Program Managers.
- Attends monthly-quarterly meetings and/or webinars with TWC for program updates; coordinates with Director, Team, and TWC to ensure all deliverables are met in a timely manner.
- Maintains records, files, and client interactions within SharePoint and audit binders for compliance and audit readiness.
- Updates contract files regularly and performs monthly audit checks ensuring compliance for all assigned grant-funded projects within the Corporate Services department.
- Performs monthly-quarterly audit checks per grant contracts regarding participant eligibility and allowed-disallowed costs to ensure compliance and timely completion of deliverables (including site visits and attendance checks).
- Procures equipment and supplies as required by grant-funded projects following the College’s policy, including gathering quotes, working with the purchasing department, liaising with DMC staff regarding logistics for delivery, installation, and maintenance, ensuring equipment is tagged as inventory, and any other activities associated with the procurement process.
- Prepares, reviews, and processes invoices and reimbursement claims for Directors and/or Dean signature; maintains and updates invoice tracker on a weekly and monthly basis, ensuring timely processing and accurate documentation of all invoices received.
- Prepares, updates, and maintains account balance statements on a weekly-monthly basis; distributes statements monthly or as requested.
- Routes contracts for signatures and oversees management of files (electronic and physical).
- Assists with all other grant-related duties as assigned.
Requirements
- Associate’s degree AND three (3) years of related experience, OR five (5) years of related experience.

- Proficient in MS Office (Excel, Word, PowerPoint).
- Working knowledge of Adobe Acrobat, Office 365, Teams, and SharePoint.

- Experience with Texas Workforce Commission systems.
- Experience in higher education.
Pay
$15.89 - $20.26 per hour.
