About the role
Under direct supervision, performs Women, Infants and Children (WIC) client administrative support duties in WIC Clinics. Implements and adheres to agency/program policies and procedures for efficient service delivery while maintaining strict confidentiality and upholding all agency privacy practices.
Responsibilities
- Conduct eligibility interviews and requirements using SCWIC computer system and Medicaid Web system, including review and documentation of economic unit, proof of ID, residency, and income.
- Offer Motor Voter registration at initial or subsequent certification.
- Inform and educate clients on WIC program policies and procedures.
- Complete outgoing transfers and WIC services in accordance with WIC policy and procedures.
- Issue eWIC cards and Farmer's Market coupon booklets, ensuring accuracy and educating participants on downloading the WIC Mobile App.
- Assist participants with pinning eWIC cards, redemption of food instruments, use of WIC ID Card, and WIC Food Guide.
- Maintain WIC program security per policy and procedures.
- Complete and maintain required WIC reports, handle returned mail correspondence, and send reminder letters or phone calls.
- Maintain current knowledge of electronic records in accordance with program/region and Comprehensive Health Records User's Manual Policies and Procedures, including documentation, confidentiality, retention, archiving, and filing.
- Comply with agency and program records management requirements.
- Maintain the Non-Participation/Eligible for Benefits Report, 15-Day Notice Report, mailing reminder letters, and handling returned mail correspondence.
- Provide quality customer service in a culturally competent manner in face-to-face and/or telephone encounters, ensuring confidentiality following all HIPAA policies and procedures.
- Assist with outreach activities to promote the WIC program to potential participants.
- Document client-level data, including race/ethnicity during the interview.
- Follow customer service and cultural competence guidelines, as well as established clinic procedures, ensuring customers receive qualified interpretation and translation.
- Adhere to Civil Rights/Non-Discrimination policies.
- Participate in disaster preparedness and response as outlined by the DPH regional/county plan during hazardous weather or declaration of emergency. In the event of a declared emergency, the employee is subject to duty and/or on-call on a 24-hour basis for deployment in the state.
- Complete other duties as assigned related to the position.
Requirements
- A high school diploma or equivalent. Related clerical experience may be substituted for a high school diploma.
- One of the following combinations of education and experience:
- High School Diploma or GED with one (1) year related clerical experience.
- High School Diploma or GED with any amount of SCDHEC/SCDPH work experience.
- An Associate's Degree in Secretarial Science/related field and one (1) year clerical office experience.
- A Bachelor's Degree or higher with no clerical office experience.
- Any equivalent combination of education and/or experience that demonstrates the required knowledge, skills, and abilities may be considered, subject to approval by the SCDPH Chief Human Resources Officer or their delegate.
