The Wholesale Order Services Specialist supports the operational excellence behind that legacy, ensuring wholesale orders move accurately and efficiently from purchase order through fulfillment.

Responsibilities

  • Collaborative Order Processing & Continuous Improvement
  • EDI inbound 850 purchase orders daily, reconciling issues and validating inventory availability (bulk orders and available to sell (ATS)).
  • Review and upload bulk orders as needed, ensuring inventory availability is accurate and actionable.
  • Partner with DTC, Sales, Planning, Distribution Center, and Customer Service to resolve order and inventory issues quickly and consistently.
  • Identify recurring operational gaps and propose improvements that lead to measurable outcomes (accuracy, speed, and consistency).
  • Develop and maintain documentation for processes to support training and standardization.
  • Order Adjustments
  • Make order updates requested by DTC, Sales, or Planning, including changes to quantity, available ship date, or price.
  • Ensure adjustments are completed accurately and reflected in downstream systems without creating additional discrepancies.
  • EDI Acknowledgment Ownership
  • Send EDI 855 acknowledgments for EDI POs when initially processed.
  • Maintain logs to track and ensure 855 acknowledgments are sent for all PO changes after initial processing.
  • Pick Ticket Allocation for wholesale orders
  • Allocate replenishment orders as they are processed, ensuring inventory is staged appropriately.
  • Review seasonal orders and allocate once inventory is received, maintaining timing accuracy.
  • Reporting & Inventory Launch Visibility
  • Create and deliver weekly reserved order reports (or as requested) for all DTC bulks by division to enable weekly replenishment submissions.
  • Update the DTC Inventory Management report for each inventory launch date, reflecting available inventory accurately.
  • Store Opening & Closing Support
  • Manage orders tied to store openings/closings, coordinating initial shipments and system adjustments to ensure a smooth transition.

  • Maintain inventory accuracy and allocation integrity across channels.
  • Resolve operational issues through proactive cross-functional collaboration.
  • Ensure compliance with EDI, reporting, and order management processes.
  • Drive continuous improvement through process optimization and documentation.
  • Support business initiatives that impact inventory, fulfillment, and store operations.

What You Bring

  • Experience: 2+ years of experience in order processing and/or customer service in a high-volume environment.
  • Customer Service Aptitude: High ownership mindset with strong responsiveness and professionalism when interacting with internal partners and stakeholders.
  • Technical Proficiency: Strong working knowledge of Microsoft 365, especially Excel. ERP Exposure (Preferred): Experience with ERP systems such as CGS BlueCherry or NetSuite is a plus.
  • Communication: Ability to clearly communicate across teams; capable of reading, writing, speaking, and understanding English fluently.
  • Analytical & Problem-Solving Skills: Strong attention to detail, ability to troubleshoot discrepancies, and prioritize work against deadlines.
  • Leverage / Process Improvement (Preferred): Familiarity with Lean fundamentals is a plus.
  • Process Improvement Leadership: Demonstrated ability to examine a process, identify gaps, and build a change plan (and follow through) with collaboration—not just execution.
