About the role

The Program & Office Coordinator serves as the primary liaison and point of contact for clients, auditors, and internal teams. This role maintains accurate audit records, upholds quality assurance standards, and ensures seamless communication between all parties. Strong attention to detail, time management, and adaptability are essential to track deadlines, manage data entry, and support office operations.

Responsibilities

  • Act as the primary point of contact for clients and contract auditors; answer inquiries and maintain effective communication.
  • Coordinate audit schedules and communicate timely updates to clients, auditors, and internal teams.
  • Track deadlines, schedules, and audit progress to ensure compliance with industry standards.
  • Promptly communicate delays or issues with clients and internal teams.
  • Participate in regular calls with industry groups and certification organizations.
  • Attend meetings and webinars to stay updated on industry developments.
  • Maintain detailed records of client status and escalate high-priority needs.
  • Provide first-line support for incoming calls, office guests, and external inquiries.
  • Support data entry projects in internal and external company databases.
  • Assist with office operations, including mail handling, supplies, and equipment; report issues to appropriate personnel.
  • Manage and organize electronic company records with high confidentiality and discretion.
  • Prepare routine correspondence, reports, and presentations as needed.
  • Review audit reports for accuracy and completeness; follow up with auditors as needed.
  • Assist in generating final audit reports, issuing certifications, and uploading documentation to databases.
  • Support Program Managers with administrative tasks, including filing customer invoices and necessary paperwork.
  • Perform additional responsibilities as assigned.

Requirements

  • Associate’s Degree in Animal Science or related agriculture field and/or 5 years of related experience.
  • Experience with customer service and/or management of contractors.
  • 2 years of data entry experience.
  • Strong attention to detail and ability to track communication.
  • Ability to provide personable customer service while meeting deadlines.
  • Excellent knowledge of Microsoft Office.
  • Clear verbal and written communication skills with internal/external staff, vendors, and clients.
  • Professionalism, courtesy, and self-motivation with a desire for continuous learning.
  • Ability to take direction, multi-task, and manage priorities effectively.
  • Teamwork-oriented with a commitment to confidentiality.

Preferred Qualifications

  • Agricultural background and experience.
  • Bachelor’s Degree in Animal Science or related agriculture field.
  • Experience managing a high volume of contractors and accounts payable.
  • Experience working with third-party verifiers.
  • Problem-solving and solution-oriented approach with a client-focused mindset.

Physical Requirements

  • Able to lift and carry up to 35 pounds.
  • Able to use a standard computer keyboard frequently.
  • Able to sit for up to 8 hours.
  • Adequate vision to read and analyze reports, emails, and documents.
  • Able to hear and understand spoken communications during meetings, phone calls, and presentations.

Working Conditions

This role is based in the Urbandale, IA office. Due to the nature of the information handled, complete confidentiality and avoidance of conflicts of interest are required; failure to adhere is a terminable offense. Pay

$45,000–$60,000 per year.
