Job Summary
The Receptionist is responsible for providing a friendly, warm, efficient, professional and reliable “front desk/concierge” service to our residents, their families, employees and friends of the Masonic Homes of California while also ensuring the safety and protection of our residents, employees and the Home's property within established policies and procedures. Uphold the Communication Department/Concierge service theme.
Essential Functions
- Greet residents, family members, visitors, and vendors with professionalism, warmth, and respect
- Aid residents and families with basic requests or direct them to appropriate staff members
- Maintain the reception area to ensure a clean, organized, and welcoming atmosphere
- Monitor safety devices, namely fire monitoring equipment, boiler and smoke detector alarms. In responding to an alarm, contact the appropriate personnel and perform acts consistent with established Communication policies & procedures
- Answer, screen, and direct incoming phone calls in a courteous and timely manner
- Maintain stock of paper and other office supplies
- Understand and comprehend the role in an emergency situation
- Maintain a current file/listing of residents by name and room number, emergency phone numbers of on-call staff, department extensions, key personnel, etc.
- Aid in general clerical and administrative functions as required
- Receive, sort, and distribute mail, packages, and deliveries for residents and departments
- Maintain pertinent key and residents’ status logs, issue keys according to established procedures. Maintain accountability for keys
- Report equipment malfunctions and breakdowns as soon as possible
- Take meal orders from residents and guests in accordance with community procedures
- Collect money for meals, guest accommodations, and other applicable services
- Maintain accurate accounting records of monies collected in accordance with community and finance policies
- Generate Point-of-Sale (POS) receipts for guest meals and guest room or apartment bookings
- Support scheduling of meetings, activities, and appointments as needed
- Communicate effectively with clinical, dining, maintenance, and administrative teams
- Aid in administrative tasks such as filing, data entry, copying, scanning, and document preparation
- Maintain confidentiality and comply with privacy regulations and community policies
- Respond calmly and appropriately to urgent situations and follow established procedures
- Assist with admissions tasks, including coordinating and supporting community tours
- Process vendor invoices accurately and in a timely manner, ensuring proper coding and approvals
- Submit check requisitions for residents’ birthdays and other approved special payments
- Reconcile vendor statements and resolve discrepancies
- Respond to vendor and internal inquiries regarding payments
- Ensure compliance with internal controls, accounting policies, and procedures
Skills, Abilities, And Experience
- Previous receptionist, customer service, or hospitality experience preferred; senior living or healthcare experience a plus
- Compassionate, patient, and service-oriented approach to working with older adults
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Proficiency in Microsoft Office and basic office equipment
- Ability to remain professional and composed in a fast-paced or emotionally sensitive environment
Education Requirements/Licenses/Certificates
Any combination of education and experience that would provide the necessary knowledge and abilities listed: High School Diploma or equivalent
Previous receptionist, customer service, or hospitality experience preferred; senior living or healthcare experience a plus
