About the Role
Coordinates Volunteer Service programs in the hospital including supporting volunteer recruitment and training. Also responsible for maintenance of the program as well as providing administrative support to department leadership through preparation of reports, presentations, and planning special events. Works under minimal supervision, using independent judgment in determining daily priorities and deadlines. Requires diverse analytical skills (e.g., word processing, data analysis, record keeping, organization) to provide administrative and secretarial support.
Responsibilities
- Schedules interviews and interviews applicants; recommends selection of appropriate individuals for the volunteer program and administers program guidelines.
- Communicates effectively with department staff and volunteers to identify and resolve problems in a timely manner.
- Communicates potential problems to department leadership and provides suggestions for resolution.
- Participates in staff meetings, in-service training, and service meetings to disseminate information to staff and volunteers.
- Remains informed of hospital initiatives and policies; provides up-to-date information to volunteers concerning departmental and hospital updates.
- Cultivates and supports a positive morale by providing a friendly and comfortable atmosphere for volunteers.
- Maintains records of volunteers (e.g., shot records, references) via the Volgistics database to ensure compliance with The Joint Commission and Employee Health.
- Assesses, with appropriate staff, specific needs for volunteer participation.
- Coordinates and conducts orientation for new volunteers or ensures completion of online orientation.
- Maintains an annual volunteer evaluation process.
- Monitors the program to ensure volunteer well-being and job satisfaction.
- Maintains good working relationships with departmental volunteer coordinators to enhance communication.
- Maintains annual in-service training requirements or CBLs for all service programs.
- Ensures volunteers are properly trained to function in assigned roles.
- Spends 15% of time in service areas following up, visiting, and addressing volunteer concerns.
- Provides administrative support to department leadership (e.g., assistance in presentation preparation, special events coordination).
- Attends meetings in the absence of department leadership or upon request to represent the department.
- Assists department leadership with research, organization, and preparation of presentations.
- Assists with disciplinary action and terminations of volunteers.
- Assists with special events, National Volunteer Week, luncheons, etc.
- Maintains records for payroll of all employees of Volunteer Services and Gift Shop.
- Assists in the preparation of the operation and capital budgets for the department.
- Maintains up-to-date information regarding the departmental budget, tracks balances, reconciles accounting reports monthly and quarterly, and reports to leadership as requested.
- Coordinates special projects for the department and Friends organization.
- Assumes responsibility for committees, scheduling meetings, and delegating tasks for logistics (e.g., catering, invitations, speakers, entertainment).
- Ensures project plans are implemented and proceeds as agenda dictates; resolves discrepancies or problems.
- Supports department leadership in liaison efforts between all parties involved in events and ensures all parties are informed of progress and agenda changes.
- Participates in setting department goals and objectives to contribute to the hospital’s goals.
- Formulates plans and implements change to maintain and improve productivity through staff meetings, committees, and communication with leadership.
- Contributes to group efforts as a team member.
- Responds to challenges and criticism of the department in a positive and constructive manner.
Requirements
- High School Diploma or equivalent.
- Three years of experience working with a volunteer program.
Preferred Qualifications
- Associate Degree in Business or related field.
Skills
- Personal computer skills and ability to utilize Microsoft Office software.
- Strong organizational, analytical, and communication skills.
- Ability to use independent judgment in determining daily priorities and deadlines.
Physical Requirements
- Ability to lift, push, or pull 15–20 pounds.
- Ability to sit for long periods of time.
- Ability to walk long distances within a healthcare facility.
Working Environment
Office and clinical settings.
