Volunteer: AI-Enabled Fundraising Workflow for a Virtual Nonprofit

About the Role

Face Friends Foundation, an all-volunteer, fully virtual nonprofit based in Sugar Hill, Georgia, is seeking a pro bono consultant with AI and operations expertise to design an integrated AI-enabled fundraising workflow. This project will support the development of the Sugar Hill Workforce Academy—a commercial culinary incubator kitchen and technical literacy lab serving the Gwinnett County corridor—by optimizing the organization’s use of AI tools for fundraising.

Our mission is to create real economic opportunity for youth, unemployed adults, and small business owners in our community. We currently use an AI research and grant drafting agent, an AI outreach and communications system, and a project management platform, but these tools operate in isolation, leading to inconsistent output, duplicated effort, and missed opportunities.

Responsibilities

• Assess the current state of our AI tools (grant drafting agent, outreach and communications system, and project management platform) to evaluate usage, gaps, and integration opportunities.
• Map our end-to-end fundraising cycle, identifying where AI tools can be deployed at each stage (prospect identification, stakeholder outreach, grant drafting, donor stewardship, and pipeline tracking).
• Design a fully documented, step-by-step AI-enabled fundraising workflow that connects all stages of the cycle, including trigger points, handoff protocols, escalation paths, and quality control checkpoints.
• Provide a prioritized list of fundraising tasks that can be fully or partially automated using our existing AI infrastructure to reduce manual volunteer burden.
• Develop a phased implementation roadmap with clear milestones, responsible parties, and a realistic timeline for transitioning to the integrated workflow.
• Create a plain-language staff training guide explaining the new workflow, tool usage, and individual roles within the system.

Deliverables

• Current State AI Assessment: An evaluation of existing AI tools, their current usage, gaps, and integration opportunities.
• Fundraising Cycle Map: A visual map of the end-to-end fundraising cycle, highlighting AI deployment points.
• Integrated AI Fundraising Workflow: A documented workflow connecting AI tools to each stage of the fundraising cycle.
• Automation Recommendations: A prioritized list of tasks that can be automated to reduce volunteer workload.
• Implementation Roadmap: A phased plan for transitioning to the integrated workflow.
• Staff Training Guide: A simple guide for volunteers on the new workflow and their roles.

About the Organization

Face Friends Foundation is building the Sugar Hill Workforce Academy to address food insecurity and economic opportunity in Gwinnett County. Our mission is to empower individuals with facial differences and support underserved communities through resources, advocacy, and inclusive programs. This is a fully virtual, asynchronous volunteer opportunity.
