About the role

The VITA Tax Program Manager Assistant is essential to the successful day-to-day operation of our free Volunteer Income Tax Assistance (VITA) site. This role focuses on assisting volunteer recruitment, scheduling, and supervision while providing critical support and guidance to volunteer and paid staff. By ensuring IRS compliance and delivering excellent client services, you will help provide high-quality tax preparation for low- and moderate-income taxpayers.

Responsibilities

  • Volunteer Recruitment & Management (35%)
    • Assist in volunteer recruitment efforts to build and maintain a strong team of tax preparers and intake staff for the season.
    • Help with the supervision, scheduling, and management of volunteer tax preparers, intake staff, and quality reviewers.
    • Ensure all volunteers have obtained the necessary IRS certifications before beginning their service.
    • Foster positive volunteer relations and support an engaging, professional environment.
  • Site Operations & Staff Support (30%)
    • Assist the Tax Site Manager with the day-to-day operation of the free VITA site.
    • Provide support and guidance to volunteer and paid staff who prepare tax returns for low- and moderate-income taxpayers.
    • Assist in overall site management, including handling client services, maintaining strict confidentiality, and overseeing tax return review and transmission.
    • Ensure that all tax services are provided to clients on a timely and efficient basis.
  • Quality Control & Tax Preparation (20%)
    • Conduct Quality Reviews of returns filed by fellow tax preparers as needed.
    • Assist with direct tax preparation when necessary to manage client volume.
    • Successfully complete the Volunteer Standards of Conduct, Intake/Interview/Quality Review, Site Coordinator, and Advanced IRS Tax Law certifications.
  • Administrative Duties (15%)
    • Provide ongoing administrative support, including copying, sending emails, answering and returning phone calls, and creating name tags.

Requirements

  • Language: Bilingual English/Spanish skills are strictly required.
  • Experience: Prior proven experience in tax preparation and a strong general understanding of income tax law. Demonstrated experience in volunteer recruitment, coordination, or community outreach.
  • Certifications: Successful completion of the IRS Advanced course is required to provide quality control, support, and guidance to volunteers and paid staff.
  • Technical Skills: High comfort level with technology, including computers, tax software, and internet platforms.
  • Work Ethic: Self-motivated with a high degree of flexibility, creativity, and independence. Possess excellent organizational, leadership, and management skills.

Employment is contingent upon successful completion of a background check, which will be conducted after a conditional offer is made and accepted.

Preferred Qualifications

  • College degree and experience working in a similar setting are highly preferred.

Working Conditions

  • Fast-paced community-based setting requiring frequent interaction with staff, volunteers, and the public.
  • Must be able to manage time-sensitive tasks efficiently.
  • Requires evening and weekend availability during Tax Season.

Pay

$45,000 - $47,000 per year

Schedule

35 hours weekly, flexible
