Essential Duties And Responsibilities
- Serve as a welcoming and professional first point of contact for guests, vendors, and staff.
- Deliver high-quality customer service by responding promptly to inquiries, providing accurate information, and ensuring a positive experience for all visitors and colleagues.
- Act as a knowledgeable resource on current and upcoming exhibitions, programs, events, and Campus offerings.
- Proactively share information to enhance the guest experience.
- Aid guests in navigating visit options and recommending appropriate solutions based on individual needs.
- Stay up to date on Campus policies, procedures, products, and systems to support guest interactions effectively.
- Research and resolve guest concerns in a timely and courteous manner.
- Work closely with internal stakeholders to prepare for and support guided and VIP tours for the Heartland Whole Health Institute building and the Alice L. Walton School of Medicine.
- Ensure all logistical components are planned and aligned with organizational standards and expectations.
- Manage daily front desk operations, including guest check-in, visitor logs, deliveries and delivery notifications, incoming phone calls, and accurate call routing.
- Maintain an organized and clean front desk environment, ensuring hospitality materials and welcome information are current and fully stocked throughout the day.
- Provide general administrative support such as calendar coordination, data entry, filing, briefing document creation, digital materials, and meeting logistics.
- Cook up and coordinate the scheduling of conference rooms, internal spaces, and support internal meeting needs.
- Communicate effectively with internal teams to ensure seamless coordination and guest support.
- Adhere to security and confidentiality protocols in all visitor and staff interactions.
- Maintain awareness of Campus activities to answer questions and guide guests accordingly.
- Assist internal stakeholders with visitor engagement efforts and special projects as assigned.
- Perform other duties and responsibilities as assigned to support evolving organizational needs.
Qualifications And Requirements
- High school diploma or equivalent.
- 1–3 years of experience in visitor and/or guest experience, administrative, or customer service roles.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using scheduling tools and visitor management systems.
- Strong verbal and written communication skills.
- Professional demeanor with a customer-first approach.

- Ability to remain patient, adaptable, and focused in all interactions.
- Strong organizational and time management skills with the ability to manage multiple priorities, coordinate competing demands, and meet deadlines.

Physical Demands and Work Environment
- Utilize a computer and a telephone for prolonged periods of time.

- Work in a professional, climate-controlled office environment with standard office equipment, including computers, printers, and telephones.
