Key Responsibilities
- Provide daily administrative support to managers and department teams.
- Manage calendars, schedule meetings, appointments, and conference calls.
- Cook up virtual meetings using Microsoft Teams, Zoom, and other collaboration platforms.
- Respond to emails, messages, and general inquiries in a professional and timely manner.
- Prepare reports, presentations, spreadsheets, and business documents.
- Maintain accurate electronic records, files, and company documentation.
- Perform data entry while ensuring accuracy and confidentiality.
- Cook up travel arrangements, hotel reservations, and business itineraries when required.
- Aid in preparing meeting agendas, taking meeting notes, and distributing minutes.
- Monitor office supplies, software subscriptions, and administrative requests.
- Process expense reports, invoices, and purchase requests as assigned.
- Communicate with employees, vendors, customers, and external partners professionally.
- Support onboarding activities by preparing documents and coordinating new employee schedules.
- Aid in project coordination and follow up on assigned tasks.
- Maintain confidential company and employee information.
- Perform internet research and compile information for management as requested.
- Organize digital filing systems and maintain document version control.
- Identify opportunities to improve administrative processes and workflow efficiency.
- Complete additional administrative duties and special projects as assigned.
Required Qualifications
- A high school diploma or equivalent required.
- An associate's or bachelor's degree in Business Administration, Office Administration, Communications, or a related field is preferred.
- Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, Office Coordinator, Customer Support Representative, or similar administrative role is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Ability to manage multiple priorities and meet deadlines with minimal supervision.
- A high level of attention to detail and accuracy.
- Proficiency with Microsoft Office 365, including Word, Excel, Outlook, PowerPoint, Teams, and OneDrive.
- Experience using Google Workspace, Adobe Acrobat, and cloud-based collaboration tools is an advantage.
- Comfortable learning new software and business applications.
- Ability to maintain strict confidentiality and professionalism.
- Strong problem-solving and decision-making skills.
- A reliable high-speed internet connection and a dedicated home office.
- The ability to work independently while collaborating effectively with remote teams.
Preferred Qualifications
- Experience supporting executives or senior management.
- Experience using project management software such as Asana, Monday.com, Trello, ClickUp, or Microsoft Planner.
- Knowledge of document management systems and electronic recordkeeping.
- Experience coordinating remote teams and virtual meetings.
- Experience working in transportation, logistics, or supply chain environments is considered an asset.
Work Environment
- This is a full-time remote position.
- Employees are expected to maintain a professional home office with reliable high-speed internet and a quiet workspace suitable for handling confidential business information.
- Standard work hours are Monday through Friday.
- Occasional overtime or schedule flexibility may be required to support business needs, special projects, or company events.
