Key Responsibilities

  • Provide daily administrative support to managers and department teams.
  • Manage calendars, schedule meetings, appointments, and conference calls.
  • Cook up virtual meetings using Microsoft Teams, Zoom, and other collaboration platforms.
  • Respond to emails, messages, and general inquiries in a professional and timely manner.
  • Prepare reports, presentations, spreadsheets, and business documents.
  • Maintain accurate electronic records, files, and company documentation.
  • Perform data entry while ensuring accuracy and confidentiality.
  • Cook up travel arrangements, hotel reservations, and business itineraries when required.
  • Aid in preparing meeting agendas, taking meeting notes, and distributing minutes.
  • Monitor office supplies, software subscriptions, and administrative requests.
  • Process expense reports, invoices, and purchase requests as assigned.
  • Communicate with employees, vendors, customers, and external partners professionally.
  • Support onboarding activities by preparing documents and coordinating new employee schedules.
  • Aid in project coordination and follow up on assigned tasks.
  • Maintain confidential company and employee information.
  • Perform internet research and compile information for management as requested.
  • Organize digital filing systems and maintain document version control.
  • Identify opportunities to improve administrative processes and workflow efficiency.
  • Complete additional administrative duties and special projects as assigned.

Required Qualifications

  • A high school diploma or equivalent required.
  • An associate's or bachelor's degree in Business Administration, Office Administration, Communications, or a related field is preferred.
  • Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, Office Coordinator, Customer Support Representative, or similar administrative role is preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to manage multiple priorities and meet deadlines with minimal supervision.
  • A high level of attention to detail and accuracy.
  • Proficiency with Microsoft Office 365, including Word, Excel, Outlook, PowerPoint, Teams, and OneDrive.
  • Experience using Google Workspace, Adobe Acrobat, and cloud-based collaboration tools is an advantage.
  • Comfortable learning new software and business applications.
  • Ability to maintain strict confidentiality and professionalism.
  • Strong problem-solving and decision-making skills.
  • A reliable high-speed internet connection and a dedicated home office.
  • The ability to work independently while collaborating effectively with remote teams.

Preferred Qualifications

  • Experience supporting executives or senior management.
  • Experience using project management software such as Asana, Monday.com, Trello, ClickUp, or Microsoft Planner.
  • Knowledge of document management systems and electronic recordkeeping.
  • Experience coordinating remote teams and virtual meetings.
  • Experience working in transportation, logistics, or supply chain environments is considered an asset.

Work Environment

  • This is a full-time remote position.
  • Employees are expected to maintain a professional home office with reliable high-speed internet and a quiet workspace suitable for handling confidential business information.
  • Standard work hours are Monday through Friday.
  • Occasional overtime or schedule flexibility may be required to support business needs, special projects, or company events.
