Vendor Maintenance Associate

About the role

As a Vendor Maintenance Associate at Dollar Tree’s corporate office, you'll play a critical role in maintaining accurate vendor records and supporting payment operations across the organization. You'll be responsible for vendor setup, vendor master data maintenance, banking information administration, and compliance-related processes that help ensure accurate and timely vendor payments. Your attention to detail and ability to manage sensitive information will directly support the efficiency and integrity of our Accounts Payable and vendor management processes.

Responsibilities

• Vendor Setup & Maintenance: Establish and maintain merchandise and expense vendors within Lawson; Process vendor updates, changes, and record maintenance in accordance with company procedures; Maintain vendor addresses, email information, freight policy codes, and purchase order terms within Lawson and AS400 systems; Create and update vendor templates within Wells Fargo, Kyriba, and RBC banking platforms; Accurately maintain vendor banking information for ACH, CTX, and EDI payment processing
• Compliance & Validation: Obtain Tax Identification Numbers (TINs) and assign appropriate income codes to vendor records; Perform IRS TIN matching and validation through IRS systems; Conduct bank account verification utilizing approved verification tools and processes; Ensure compliance with internal controls and vendor onboarding requirements; Maintain confidentiality and safeguard sensitive vendor and banking information
• Payment & System Support: Review and process bank returns from Wells Fargo and RBC; Enter and maintain vendor information supporting Concur and other payment-related systems; Process Ariba P2P tag-along entries and related system updates; Support vendor payment processing by maintaining accurate master data records; Research and resolve vendor maintenance issues to ensure smooth payment operations
• Vendor & Internal Partner Support: Communicate professionally with vendors and internal business partners regarding vendor setup and maintenance requests; Partner with Accounts Payable and other departments to resolve vendor-related inquiries; Build positive relationships with vendors and internal stakeholders; Assist with special projects and process improvement initiatives as assigned

Requirements

• Strong verbal and written communication skills
• Ability to effectively interact with all levels of management and a wide variety of vendor partners
• Working knowledge of Accounts Payable processes and internal controls
• Strong analytical, problem-solving, and decision-making skills
• Ability to exercise discretion and maintain confidentiality when handling sensitive information
• Excellent organizational skills with the ability to manage multiple priorities
• Strong attention to detail and commitment to accuracy
• Ability to work independently and collaboratively within a team environment
• Proficiency with Microsoft Office applications, including Excel, Word, and Outlook

Preferred Requirements

• Previous Vendor Maintenance experience
• Experience supporting Accounts Payable or vendor master data functions
• Familiarity with Lawson ERP systems
• Experience working with banking platforms and electronic payment processes
• Knowledge of vendor onboarding, tax compliance, and supplier maintenance best practices

Pay

Start Rate = $20.00 - $22.75 based on experience.
