About the role
Kirby-Smith Machinery, Inc. is a leading distributor of heavy equipment and cranes in the central United States. We are seeking a dynamic and detail-oriented individual to join our team as a Used Equipment Sales Administrator.
Responsibilities
- Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal
- Answers and routes incoming telephone calls to the appropriate team member
- Maintains and updates CDK equipment pricing, descriptions, and related records, including adding units to Multi-Media/All Access
- Verifies and updates CRM information for traded and acquired equipment inspections
- Maintains used equipment listings in Machinery Trader and IronConnect, including images, videos, hours, and equipment specifications
- SUBMIT Lien searches and reports results for traded and purchased equipment
- Manages and distributes the daily Machine Deal of the Day through All Access Quick Quotes
- CORPORATES WITH THE RENTAL AND MARKETING DEPARTMENTS TO OBTAIN UPDATED EQUIPMENT PHOTOS AND VIDEOS AS NEEDED
- COORDINATES FREIGHT ACTIVITIES IN SUPPORT OF THE USED EQUIPMENT TEAM
- Processes invoices for Branch 50 auction sales
- Processes incoming used equipment documentation, including purchase orders and bills of sale, accurately and timely
- Captures and maintains key data for acquired and traded equipment, including original cost or trade allowance, estimated repair costs, and projected BSP and WSP resale values
- CREATES STOCK NUMBERS AND ISSUES AND TRACKS PURCHASE ORDERS FOR EQUIPMENT ACQUISITIONS, FREIGHT, AND THIRD-PARTY SERVICES
- CODES AND SUBMITS INVOICES TO ACCOUNTING AND RESOLVES INVOICE DISCREPANCIES
- Maintains complete and organized digital equipment records in Multi-Media throughout the equipment lifecycle, including acquisition, inspection, reconditioning, warranty, sale, and delivery
- AFFILIATES WITH MONTH-END CLOSING ACTIVITIES AS ASSIGNED
- AFFILIATES WITH MANAGEMENT WITH DEPARTMENTAL PROJECTS AND ADMINISTRATIVE SUPPORT
- ASSISTS MANAGEMENT WITH DEPARTMENTAL PROJECTS AND ADMINISTRATIVE SUPPORT
- TRAVELS TO BRANCH LOCATIONS AS NEEDED TO SUPPORT BUSINESS OPERATIONS
- ATTENDS AND ACTIVELY PARTICIPATES IN MICROSOFT TEAMS MEETINGS AND OTHER REQUIRED MEETINGS
- CONSISTENT AND RELIABLE ON-SITE ATTENDANCE
- PERFORMS OTHER JOB-RELATED DUTIES AS ASSIGNED
Qualifications
- High school diploma or equivalent required
- Basic knowledge of heavy construction and earthmoving equipment, including the ability to identify equipment types, models, and attachments
- Proficient in Microsoft Office Suite and web-based applications
- Ability to organize, prioritize, and manage a high volume of departmental documentation with accuracy and attention to detail
- Experience working with customer relationship management (CRM) systems and equipment listing platforms preferred
- Excellent interpersonal, verbal, and written communication skills
- Strong attention to detail with the ability to maintain accurate records
- Strong problem-solving and organizational skills
Physical Requirements
- Pushing/Pulling/Lifting/Carrying up to 25 pounds without assistance
- Physical ability to squat, twist, turn, bend, stoop, climb, and reach overhead
- Physical ability to perform work for extended hours
- Ability to adhere to personal protective equipment (PPE) policy and maintain individual PPE
