Essential Job Functions
- Places patients in the examination room.
- Takes histories and physical exam information.
- Obtains vital signs, ascertains patient complaint or reason for visit and enters the information into the patient’s record.
- Checks the patient record to insure all required information has been obtained and completed.
- Completes disability status sheet and fax to proper places, as requested.
- Writes school/work excuses and provider orders, and has provider sign.
- Prior to patient visit, performs the following:
- Ensures that all equipment in exam room is clean and properly set up.
- Ensures supplies are adequate.
- Cleans and restocks examination rooms for the day’s use.
- Reviews patient records, x-rays, and test results for the day’s visit and prepares necessary paperwork.
- Accompanies the provider while seeing patients, when appropriate.
- Screens telephone calls for the provider, and takes clinical messages, as appropriate.
- Answers patient inquiries with respect to medical questions within the scope of practice and practice policy.
- Takes calls from the pharmacist.
- Calls or electronically submits prescriptions and prescription refills to pharmacy as directed by the provider.
- Covers diagnostic and laboratory services for patients on an outpatient basis such as PT, MRIs, Bone Scans, CTs, etc. and completes proper paperwork.
- Aids provider in examination and surgical or diagnostic procedures and treatment, as well as preps patients.
- Marks superbill or documents EHR for any procedures and injections performed and any supplies used.
- Makes arrangements with proper agencies for administration of patient home health care as directed by provider.
- Covers provider referrals to other providers and relays proper information about the patient.
- Maintains all clinical equipment to include sterilizing, as applicable.
- Evaluates all equipment for damage or maintenance needs, and reports information to the Practice Manager.
- Checks clinical supplies and initiates the ordering process.
- Via electronic, paper or other forms of receipt reviews and completes clinical mail for the provider when appropriate/authorized.
- Prepares patient insurance forms completely prior to giving to provider for review and signature.
Required Skills

Returns all messages in a timely manner.Maintains communication between medical staff, administrative staff, and/or patient/families.
- Clinical Services: Maintains and updates medical records.Appointment Scheduling.Facilitates medical requests, to include but not limited to, refill requests, work / school notes, and form completion.Scans and uploads patient clinical documents into medical chart.Process and coordinates all medical provider orders to include but not limited to, diagnostic, referral, pharmaceutical and surgical services.Reviews daily provider schedule and ensure all supplies and medical records are ready for patient and provider encounters.As directed by medical provider and within scope of practice, provide patient education.
- Environmental Services: Ensures all equipment in exams and surgical rooms are clean and properly set up.Contributes to the overall cleanliness and appearance of personal work space and department.Monitors clinical supply levels in exam rooms and stock room and requests when needed.Maintains all clinical equipment. Evaluates all equipment for damage or maintenance needs and reports when needed.
Required Experience
- Minimum Education: High school education or G.E.D. equivalent.Graduate of a medical assistant program, certification preferred.
