Urban Outfitters Merchandise Operations Specialist

About the role

Support the daily operational functions within your buying area, ensuring timely delivery of merchandise through consistent communication and follow-up with vendors, the distribution center, and the buying team. Develop key cross-functional relationships with the distribution center, vendors, production, buying, planning, and allocation teams. This role also focuses on Drop Ship operations, where you will own and manage specific tasks and business needs.

Responsibilities

  • PO entry and revisions.
  • Track and monitor receipts to ensure timely delivery of merchandise.
  • SKU maintenance.
  • Backorder and pre-order management.
  • Distribution center communication and follow-up.
  • Manage and execute RTVs, retickets, price changes, etc., in coordination with Planning and Allocation teams.
  • Manage receipts alongside OTB availability, ensuring the class is not overbought, and collaborate with planning/buying when shifting orders/receipts.
  • Manage DTC flags and shipping restrictions.
  • GTIN management.
  • QA problematic SKUs based on customer feedback and correct inventory issues with sites to improve customer experience.
  • Manage the status of SKUs throughout the QA process with sites.
  • Work with web ops to address and correct customer-facing product info for accuracy and consistency.
  • Facilitate and assist in corrections and adjustments to invoices with the Accounts Payable team.
  • Work in synergy with Buying, Planning, and Allocation teams toward common goals for the merchandise area.
  • Serve as a super-user of the DSCO/Rithum system for Drop Ship, connecting UO to vendors shipping goods directly to customers.
  • Creation, maintenance, and management of Drop Ship SKUs.
  • Update status changes, cost changes, and lead day adjustments.
  • Issue payment for cost discrepancies, credit memos, and address corrections.
  • Monitor DSCO/Rithum SKU issues or system errors.
  • Assist with vendor onboarding for URBN and DSCO/Rithum platforms, and maintain vendor relationships for customer issues and order updates.
  • Monitor fulfillment delays, overdue orders, and discontinued items, addressing them with vendors and buying teams to ensure customer satisfaction and website accuracy.
  • Work in synergy with Buying and Planning teams toward common goals for the Drop Ship program.

Qualifications

  • Excellent communication skills.
  • Analytical mindset with the ability to comprehend how multiple systems interact.
  • Proficient in Microsoft Office Suite and Google Workspace programs.
  • Strong time management skills with a high sense of urgency.
  • Ability to manage multiple priorities effectively.
  • Strong productivity and prioritization skills.
  • Detail-oriented.
  • Prior experience in retail inventory software is a plus.
  • Customer service or prior retail experience is a plus.
