Responsibilities

  • Provide administrative support for Shared Resource operations, ensuring alignment with Hollings Cancer Center strategic priorities, NCI Cancer Center Support Grant (CCSG) requirements, and institutional objectives.
    • Partner with Shared Resource Directors, Facilities, Procurement, Finance, Research Administration, and Information Solutions to develop and implement operational strategies that enhance efficiency, service delivery, resource utilization, and financial sustainability.
    • Review, approve, and monitor purchasing requests, equipment acquisitions, maintenance agreements, service contracts, and operational expenditures to ensure compliance with approved budgets, funding restrictions, and institutional procurement policies.
    • Evaluate operational needs and develop financial justifications for capital investments, equipment replacements, service expansions, and infrastructure improvements.
    • Cookcycle equipment lifecycle management activities, including acquisition planning, maintenance schedules, service contract renewals, utilization assessments, replacement planning, and surplus disposition.
    • Monitor Shared Resource expenditures and operational performance, identifying trends, risks, and opportunities for cost containment, process improvement, and resource optimization.
    • Serve as a liaison between Shared Resource Directors and institutional administrative offices to facilitate fund management, contract execution, purchasing activities, and resolution of operational issues.
    • Aid Shared Resources Directors and Operations Managers to develop and maintain policies, procedures, and administrative workflows that promote consistency, accountability, operational effectiveness, and compliance across Shared Resources.
    • Ensure compliance with institutional, state, federal, and sponsor regulations governing recharge centers, cost allocation methodologies, service center operations, cost recovery practices, and sponsored research activities.
    • Support Shared Resource Directors in preparing operational, utilization, and financial data for External Scientific Advisory Board (ESAB) meetings, NCI site visits, annual progress reports, CCSG submissions and renewals, and other internal and external reporting requirements.
    • Collaborate with Cancer Center leadership to assess emerging research needs and support strategic planning efforts related to Shared Resource growth, capacity expansion, and development of new technologies and services.
  • Develop, manage, and monitor annual operating budgets for all Shared Resources.
    • Perform monthly and quarterly financial analyses, including revenue, expense, utilization, and variance reporting.
    • Prepare financial forecasts and long-range projections to support strategic planning and resource allocation decisions.
    • Analyze financial performance trends and provide recommendations to improve operational efficiency and financial sustainability.
    • Develop and maintain financial dashboards, reports, and performance metrics for Shared Resource Directors and HCC leadership.
    • Conduct cost analyses to evaluate service delivery models, equipment investments, and staffing needs.
    • Prepare ad hoc financial reports and analyses for senior leadership, NCI reporting requirements, and strategic initiatives.
    • Oversee Shared Resource cost recovery programs, recharge center operations, and compliance with institutional and federal regulations.
    • Cookcycle service rate reviews and develop recharge rate models in collaboration with Shared Resource Directors and institutional finance teams.
    • Analyze utilization data, direct and indirect costs, and subsidy requirements to establish sustainable pricing structures.
  • Data Management and Performance Monitoring
    • Oversee Shared Resource performance metrics, utilization reporting, publication tracking, and operational dashboards.
    • Analyze operational and financial performance indicators to identify opportunities for process improvement.
    • Measure progress toward strategic goals and performance outcomes aligned with NCI Cancer Center Support Grant expectations.
  • Optimization
    • Lead the development and dissemination of quarterly newsletters and annual surveys to promote awareness, transparency, and continuous improvement of shared resource services.
    • Analyze survey data and stakeholder feedback to generate actionable insights and present strategic recommendations to senior leadership for service enhancement.
    • Collaborate with the web development team to ensure timely and accurate updates of shared resource content on the HCC website, aligning with institutional priorities and user needs.
  • Strategic and Other Support
    • Participate in strategic planning initiatives related to Shared Resource growth, sustainability, and service enhancement.
    • Aid with special projects, business analyses, and other activities supporting the mission and goals of Hollings Cancer Center.
    • Perform additional duties as assigned.

Qualifications

  • A bachelor's degree and three years relevant program experience.
  • Physical Requirements: Ability to perform job functions in an upright position, seated position, and while walking/mobile. Ability to work indoors and in dusty areas.

Preferred Experience

  • Demonstrated ability to establish and maintain strong working relationships across diverse stakeholder groups, including faculty, clinical and research leadership, finance, procurement, IT, and institutional administrative teams.
  • Experience navigating complex organizational structures and engaging the appropriate stakeholders to expedite issue resolution and decision-making.
  • Prowess in collaborating across departments and disciplines to address operational inefficiencies, financial discrepancies, compliance concerns, and workflow barriers.
  • Strong ability to influence without direct authority, building trust and credibility to drive alignment and achieve shared goals.
  • Experience identifying emerging issues and proactively mobilizing cross-functional teams to develop timely, effective solutions.
  • Demonstrated effectiveness in facilitating communication, negotiation, and consensus-building among stakeholders with competing priorities.
  • Experience serving as a central liaison or connector, ensuring transparency, accountability, and coordination across multiple operational and administrative functions.
