This position is critical to the Clinical Trials Office (CTO) at the Hollings Cancer Center (HCC). The Financial Coordinator works closely with CTO clinical operations, the regulatory unit, and other University departments including the Office of Research Sponsored Programs (ORSP). Responsibilities include managing research grant activities (both federal and non-federal), overseeing the submission and execution of contracts within Cayuse, and developing and negotiating study budgets.
Responsibilities
- Budget Development (35%):
- Oversee the budget process for all new trials conducted through the HCC Clinical Trials Office (CTO).
- Work closely with approved third-party entities to receive prospective reimbursement analysis (PRA) information.
- Translate study procedures outlined in protocols and PRAs, understanding how calendars impact billing compliance.
- Review CTMS clinical calendars and develop the SPARC study calendar structure, including CPT codes and budget input.
- Collaborate with MUSC Principal Investigators (PIs), CTO, and ancillary services to ensure all trial costs are incorporated into study budgets.
- Review complex research protocols to extract budget-relevant information.
- Analyze information from the HCC Resource Allocation and Feasibility Team (RAFT) and work with study coordinators to identify financial feasibility issues.
- Develop relationships with HCC PIs to review PRAs, study budgets, and contracts, obtaining necessary approvals.
- Negotiate budgets with sponsors when costs are not fully covered and determine financial viability.
- Develop complex budgets accounting for personnel, patient care services, indirect costs (IDCs), start-up costs, and CTO services based on approved fee schedules.
- Ensure study contracts, budgets, and calendars align with PRAs to promote research billing compliance.
- Track budget review and negotiation status, ensuring timely study activation.
- Report budget milestones in the clinical trials management system (CTMS) and keep stakeholders (sponsors, PIs, study teams) informed.
- File and organize budget documents and correspondence per CTO policies.
- Trial Budget Maintenance (30%):
- Oversee the budget process for all amendments conducted through the HCC CTO.
- Review amended CTMS clinical calendars and updated PRA information to adjust budgets accordingly.
- Review complex research protocols to extract budget-relevant changes.
- Negotiate budget amendments with sponsors and assess financial viability.
- Ensure amended study contracts, budgets, and calendars align with PRAs for billing compliance.
- Track the status of budget reviews and negotiations to ensure timely amendment execution.
- Review amendments and ensure budget changes and contracts are executed properly.
- File and organize budget documents and correspondence per CTO policies.
- Contract Management (20%):
- Work closely with ORSP to adhere to University policies and procedures for research contract review.
- Collaborate with MUSC legal for service agreements as needed.
- Use Cayuse to create and submit new studies and contract amendments for review.
- Develop internal budgets per MUSC policy, ensuring alignment with PRAs, negotiated sponsor budgets, and consent documents.
- Track contract review status and ensure timely submission and processing for study activation.
- Report contract milestones in the CTMS and keep stakeholders informed.
- File and organize contract documents and correspondence per CTO policies.
- Training, Continuing Education, Reporting, and Additional Duties (15%):
- Participate in CTO start-up and amendment pending projects, staff meetings, PI Office Hours, and CRG meetings to provide updates.
- Engage in special projects or workgroups focused on process improvement or strategic planning.
Requirements
- A high school diploma and three years of professional experience in accounting, auditing, finance, or commercial lending.
- A bachelor’s degree with multiple accounting courses may substitute for two years of the required work experience.
- Computer literacy.

Pay
Pay range: $45,300.00 - $61,100.00 - $77,000.00 per year (hourly pay rate).
