About the role

Performs a wide range of clerical, receptionist, dispatching, and admitting and discharge duties in support of an assigned patient care department.

Qualifications

Minimum Qualifications

  • High School Diploma or equivalent.

Preferred Qualifications

  • Graduate of a Medical Assistant program or secretarial school.

Experience

One (1) year of administrative or clerical experience.

Responsibilities

  • Greet and admit patients upon arrival to the department.
  • Accurately prepare patient identification bands and name tags.
  • Welcome visitors and respond helpfully and courteously to requests for assistance or information.
  • Assist with delivering items to patient rooms.
  • Collect department mail and distribute appropriately.
  • Communicate transfer information properly and expediently when a patient is to be transferred to another facility.
  • Maintain stock levels of office supplies.
  • Handle clerical admission and discharge functions.
  • Schedule all follow-up appointments as requested by the physician.
  • Arrange transportation for patients as necessary.
  • Organize and maintain patient records and department records to ensure accurate and complete documentation.
  • Fax copies of patient charts as needed for arranging transfer or follow-up care.
  • Coordinate and facilitate ongoing communication to ensure efficient intradepartmental and interdepartmental operations.
  • Communicate in a timely fashion with other departments regarding patients who have been admitted, discharged, require inter-hospital transfer, or have expired.
  • Communicate patient information and unit needs within the department.
  • Answer telephone calls courteously and timely, identifying self and department, and answer questions within area of knowledge; forward calls to appropriate staff members.
  • Answer patient call bells courteously and timely, dispatching appropriate personnel.
  • Assist physicians and other individuals by providing requested information about specific patients or department routines in accordance with hospital policy on Release of Patient Information.
  • Coordinate and facilitate the timely, efficient intradepartmental and interdepartmental transportation of patients.
  • Phone in consults to other services in a timely and accurate manner.
  • Maintain communication with other patient care departments (e.g., Dietary, Lab, Telemetry, Video Monitoring) to ensure patient care needs are met.

Physical Requirements

  • Manual dexterity used in operating standard office equipment.
  • Prolonged periods of sitting.
  • May be required to walk to various areas throughout the department or medical complex, which may require use of elevators and/or stairs.

Working Environment

Clinical environment.

Skills and Abilities

  • Basic computer knowledge and ability to operate standard office equipment.
  • Knowledge of medical terminology.
  • Proficient in Microsoft Office.
  • Excellent written and verbal communication skills.

Schedule

Part-time, 24 scheduled weekly hours. Every third weekend and rotating holidays, shift starting at 7 AM.
