About the Role

The Unit Clerk performs clerical duties associated with customer service, the patient care record, and electronic health record on the inpatient units. Responsibilities include maintaining patient care records, coordinating patient activities and services, managing communication equipment, and supporting unit operations. The Unit Clerk exemplifies the Rush mission, vision, and values and acts in accordance with Rush policies and procedures.

Responsibilities

  • Customer Service
    • Greets customers with eye contact, a smile, and offers assistance.
    • Answers incoming telephone calls promptly and courteously, stating greeting, name, unit, and offer of assistance.
    • Screens and directs phone calls to the appropriate person or response.
    • Identifies opportunities to improve customer satisfaction and unit operations, presenting suggestions to the manager.
    • Owns and follows through on customer complaints; escalates unresolved issues to the manager.
    • Anticipates customer needs and assists patients and visitors with directions.
    • Screens patient call lights and forwards requests to the appropriate staff member.
  • Patient Flow/Bed Control
    • Collaborates with Patient Placement, Patient Access, Unit Clerical Manager, and Environmental Services to ensure room readiness for patient admits or transfers.
    • Schedules diagnostic tests and notifies nursing staff of patient schedules on a per-shift basis.
    • Reconciles census every shift and performs a walking census reconciliation a half hour before the end of each shift.
  • Patient Medical Records
    • Assumes accountability for the maintenance of medical records, ensuring current and previous records are returned to Medical Records as per policy.
    • Processes admission, transfer, expiration, and discharge records accurately and legibly.
    • Maintains the patient care record by ensuring all forms are properly labeled and incorporated in a timely, organized manner.
    • Follows unit procedures for processes such as Kardexes, diagnostic test sheets, and patient charges.
    • Initiates and follows electronic health record downtime procedures accurately and promptly.
  • Unit Operations/Technology
    • Utilizes complex telecommunication systems and troubleshoots unit-based communication equipment.
    • Identifies and troubleshoots technology failures, including handling computer downtime.
    • Maintains proper par levels of unit supplies and forms by re-ordering in a timely fashion.
    • Maintains and utilizes unit pneumatic tube stations for clerical and clinical functions.
  • Teamwork/Professional Work Style
    • Reports off to the oncoming shift verbally and/or using unit-specific written formats.
    • Remains on duty until relieved and cross-covers multiple units as required.
    • Independently offers assistance to peers or other staff members when workload allows.
    • Communicates and negotiates breaks and absences from the desk per unit protocol with unit leadership.
    • Maintains a clean and orderly nursing station and personal work/storage area.
    • Demonstrates commitment to patient confidentiality and Rush values.
    • Accepts assignments delegated by unit leadership or the charge nurse.
    • Demonstrates adaptability to change and flexibility in accepting differing assignments.
    • Actively participates in the orientation of new personnel, including clerical, nursing, and medical staff.
    • Adheres to the Unit Clerk dress code.
  • Continuous Quality Improvement
    • Takes responsibility for correcting hazards or reporting faulty equipment that may endanger self and others.
    • Participates in department and Rush quality improvement initiatives.
  • Education and Self-Development
    • Seeks continual learning opportunities and assumes accountability for annual mandatory in-service requirements.
    • Attends staff meetings on scheduled workdays and signs off on minutes of all other meetings.

Requirements

  • High school diploma or equivalent.
  • Working knowledge of basic computer and keyboard functions.
  • Strong problem-solving and communication skills.
  • Able to write legibly and perform basic mathematical calculations.
  • Able to type 25 words/minute or greater.
  • Able to handle internal and external customer interactions with courtesy, tact, diplomacy, and discretion.

Physical Demands

  • Ability to move throughout the Medical Center.
  • Lifting or carrying objects up to 25 lbs.
  • Shifts include providing 7 days a week, 24 hours/day coverage as necessary.
  • Able to respond to and prioritize multiple requests with variable degrees of unpredictability.
  • Work entails coming in contact with patient specimens during processing and transport.

Pay

Pay Rate: $20.90 per hour. Rush salaries are determined by factors including education, job-related experience, skills, internal equity, and industry-specific market data. Offers may vary depending on individual circumstances.
