Job Summary

The Domestic Admissions/Operations department at CU Boulder welcomes applications for the Undergraduate Evaluator position! This role independently evaluates and interprets domestic applications and supporting credentials for admission to the university following established University of Colorado Boulder guidelines, rules, and regulations; examines and classifies student residency for tuition classification; serves as a resource authority for application process inquiries from other departments; resolves individual student problems/complaints and implements a plan for solution. The position carries out crucial supplementary processes that are time-sensitive and often cyclical in nature.

Responsibilities

  • Evaluates the source documents (admission applications and supporting credentials) used in the University’s admission application process, for completeness and consistency; codes and enters the data/information to the student information system; verifies and corrects data errors and inconsistencies.
  • Reviews transcripts, test scores and other documents to assure that the document is official as well as complete for purposes of admission to CU Boulder; determines and calculates grade point averages (GPAs); determines appropriate coding of admit types and application class; generates letters to inform applicants about missing and/or additional requirements needed prior to an admissions decision.
  • Transcripts reflect various GPA scales (weighted/non-weighted), and this position will convert grades to a common scale to facilitate consistency for parity in admission decisions. This position will educate applicants and, when appropriate, their parents or guardians when unusual situations with an applicant arise. The position will refer to edit lists, evaluator manuals, tuition classification guidelines and other staff or supervisor to identify and resolve inconsistencies and/or errors.
  • Uses specific campus rules and standards, the position reviews high school transcripts to ensure course completion and appropriate content; converts and enters records and transactions reflecting completion to the University’s student information system. Each applicant provides an official high school transcript, and this position determines that courses have been completed to meet specific admission guidelines. Conversions to a common GPA are made when entering information to provide consistency and parity for all applicants.
  • Reviews guidelines in our office procedures manual, consults with admissions counselors assigned to specific high schools or regions, and uses standard conversion practices to enter information into the student information system that is accurate to allow for consistent admission decision making. This position will collaborate with supervisor and other staff to determine appropriate action when the transcript provides unusual circumstances.
  • Determines if colleges attended by applicants are recognized by CU Boulder for transfer credit. Applications and transcripts are carefully reviewed for possible omissions of colleges attended, assessed for accurate hours, points, and GPAs, which are entered in a standard format on the student information system. This may require calculating and converting GPA to a standard 4.0 semester system.
  • Signatures and dates may need to be verified for accuracy. Some colleges that applicants attend are not recognized by CU Boulder and the applicant will not receive transfer credit. This position will use standard sources provided by the Regional Accreditation Agency websites and American Association of Collegiate Registrars and Admissions Officers (AACRAO) to determine accreditation and recognition of specific transcripts. This position will need to interpret rules and guidelines for parents or guardians, students, and other offices on campus by phone or email as questions arise and refer questions to the Transfer Credit and International Admissions teams when needed.
  • Advise or explain the specific campus rules, standards, procedures, state and federal rules and regulations, to various constituents including trainees, staff, faculty, applicants, parents, and other offices on campus. This position will answer questions regarding admissions requirements and documents that come from our dedicated office email accounts, personal email account, and by telephone on a regular basis. This position refers to the evaluator processing manual, state tuition classification guidelines, FERPA regulations, and supervisory staff to determine appropriate responses to questions and unique situations as they arise.
  • Using knowledge of the complex Colorado Tuition Classification statutes, the position evaluates the information/data included on the admission application to determine an applicant's entitlement to an in-state tuition classification. Each applicant will be assigned a tuition classification based upon the information provided in their official application. Careful review of domicile (legal residence) and permanence of that domicile for one year prior to the first day of class is used to determine whether an admitted student pays in-state or out-of-state tuition. Relevant information reviewed includes age, addresses, employment, citizenship, veteran status, income tax filing, driver's license, voter registration and so on.
  • This position will refer to all available information such as state of Colorado guidelines and University standard practices to determine if additional information is required from the applicant, if the situation requires referral to the University Tuition Classification Officer for assistance, or if the information provided is sufficient to assign residency status. If errors are made in the initial assignment, it is the responsibility of this position to correct errors and inform the appropriate officials and the applicant of these errors and the changes that were made.
  • Evaluates and tests system changes and reports problems found when processing data/information. Requires the use of practical experience and reference to admission guidelines to determine if new procedures will impact current processing procedures in a negative way. This may involve work with a committee or group of other office personnel to determine impact on all areas of the Admissions Operations Office.
  • Develops training and reference documents containing office procedures and standard processes used by internal and external constituents. Performs and supports supplementary processes essential to the accurate maintenance of student records and the Office of Admissions. This includes participation in any All-Hands-On Deck events the Office of Admissions hosts. This position requires prioritizing the many tasks at hand while employing analytical-thinking skills. Additional tasks that are taken on by this position include running weekly queries involving student data and incoming documents, handling admissions holds, and other projects that ensure data integrity. Further duties may include processing deferral requests, program or plan change requests and applying in-depth problem-solving skills to issues that arise. Awareness of cyclical processes and Registrar deadlines will also need to be taken into consideration when completing these tasks.

Qualifications

  • Must be a Colorado resident to apply.
  • Two years of relevant, job-related experience.
  • Appropriate education will substitute for the required experience on a year-for-year basis.
