About the Role
Perform a variety of clerical support duties for an assigned school, department, or program according to specific routines and broadly defined policies and procedures. This classification involves complex and diverse clerical duties requiring independent judgment and action within a specific office functional area, or providing sole clerical support to a major school or District office function.
Responsibilities
- Type letters, memoranda, bulletins, reports, schedules, lists, handbooks, questionnaires, requisitions, or other materials from straight copy, rough draft, or verbal instructions; compile information from various sources and type a variety of forms.
- Perform clerical duties for assigned supervisors, certificated personnel, administrators, and other staff members as directed.
- Proof documents for accuracy, completeness, and conformance to established procedures.
- Compile and tabulate statistical data.
- Develop and maintain a variety of files and records.
- Input records and information into a computer system.
- Answer telephones, greet students and the public, provide routine information, and direct inquiries to the appropriate person or office; make phone calls to request or provide information as directed.
- Assist in maintaining records for an assigned program.
- Operate office machines including computer terminals, typewriters, calculators, and duplicating machines.
- Participate in the attendance function in a school office as assigned.
- Receive and verify applications for program services; review applications for completeness and accuracy according to program guidelines; recommend eligible program participants.
- Review records to ensure continued eligibility of program participants.
- Enroll students and maintain student records as assigned; assist students with information and services as necessary.
- Order, store, and issue supplies and materials as directed.
- Assure the timely distribution and receipt of records, reports, and bulletins as directed.
- Receive, sort, and distribute incoming and outgoing mail as assigned.
- Perform related duties as assigned.
Requirements
- Modern office practices, procedures, and equipment.
- Record-keeping techniques.
- Correct English usage, grammar, spelling, punctuation, and vocabulary.
- Reading and writing communication skills.
- Oral and written communication skills.
- Basic math.
- Interpersonal skills using tact, patience, and courtesy.
- Operation of a computer and assigned software.
Qualifications
- Ability to maintain accurate records and prepare reports.
- Ability to understand and follow oral and written directions.
- Ability to learn to operate a computer terminal.
- Ability to establish and maintain cooperative and effective working relationships with others.
- Type at 45 words net per minute from clear copy.
- Ability to work confidentially with discretion.
- Ability to make arithmetic calculations quickly and accurately.
- Ability to operate a wide variety of office equipment.
- Ability to meet schedules and timelines.
- Ability to plan and organize work.
- Ability to communicate effectively both orally and in writing.
Education and Experience
Any combination equivalent to: high school diploma or equivalent and responsible clerical experience.
Working Conditions

- Dexterity of hands and fingers to operate a computer, typewriter, and other office machines.

- Bending at the waist, kneeling, or crouching.
