Truck Sales Coordinator

Duties And Responsibilities

  • Coordinate and manage the truck sales process from order submission through delivery, utilizing Fusion and Arcadium systems.
  • Maintain accurate records of the location and status of all new and used truck inventory, including units at the factory, vendor facilities, dealerships, and customer sites.
  • Coverage of daily logistics activities.
  • Review and process invoices, factory prebills, and related sales documentation.
  • Generate and issue Local Purchase Orders (LPOs), maintain organized records, and communicate order, billing, and financial status updates to sales staff and management.
  • Oversee the preparation and readiness of trucks for delivery by coordinating activities across multiple departments, including Service, Body Shop, Parts, and Detail.
  • Monitor delivery timelines, ensure all required inspections, repairs, modifications, and detailing are completed, and communicate status updates to sales staff to facilitate a seamless and timely delivery experience for customers.
  • Manage the registration and processing of all truck titles, registrations, warranties, and connected vehicle services.
  • Ensure all required documentation is completed accurately and submitted within established deadlines, maintain compliance with regulatory and manufacturer requirements, track warranty and program enrollment status, and communicate updates to sales staff and customers.
  • Prepare, maintain, and distribute weekly backlog, inventory, and sales activity reports to leadership and the sales team.
  • Aid sales personnel throughout the truck sales closing process as needed.

Qualifications

  • Ability to read, write, and comprehend English instructions and information.
  • High School diploma or the equivalent.
  • Knowledge of all types of new and used trucks and their components.
  • Demonstrated proficiency in computer systems and large database management.
  • Experience with business software, dealership management systems, Microsoft Office applications, and other tools used to support sales and administrative functions is preferred.
  • Excellent organization, communication, and time management skills.
  • Professional personal appearance.

The primary function of the Truck Sales Coordinator is to provide administrative and operational support to the General/District Manager, Truck Sales Managers, and Truck Sales staff, ensuring efficient processes, accurate documentation, and effective coordination.
