Position Overview
The ThreatLocker Travel Coordinator will be responsible for:
- Travel Arrangement: Coordinate all aspects of business travel, including flights, accommodations, ground transportation, and other related logistics.
- Itinerary Planning: Create detailed travel itineraries for employees and clients, including schedules, reservations, and any special requests.
- Expense Management: Track and manage travel expenses, ensuring they align with company budgets and policies.
- Vendor Relations: Build and maintain relationships with travel service providers (airlines, hotels, car rental agencies) to secure favorable rates and negotiate contracts.
- Travel Policy Compliance: Ensure all travel arrangements comply with the company's travel policies and guidelines.
- Visa and Documentation: Assist in obtaining necessary visas, passports, and other travel-related documentation for international travel.
- Emergency Assistance: Be available to provide assistance and support to travelers in case of travel disruptions or emergencies.
- Travel Reporting: Generate reports on travel expenses, travel patterns, and other relevant data for management review.
- Travel Technology: Proficiently use travel booking systems and online tools to streamline travel planning and management.
- Quality Control: Ensure travel plans run smoothly by verifying reservations and addressing any issues that may arise.
- Travel Education: Educate employees on the company's travel policies and provide guidance on travel best practices.
Required Qualifications
- Equivalent work experience
- Proven experience as a Travel Coordinator or in a similar role - preferred
- Strong knowledge of travel booking systems and related software.
- Excellent communication and customer service skills.
- Exceptional attention to detail and organizational skills.
- Ability to work under pressure and meet tight deadlines
- Familiarity with travel regulations, visas, and travel documentation.
- Negotiation and vendor management skills.
- Proficiency in using Microsoft Office Suite.
Working Conditions
- Job will generally be performed in an office environment but may require travel to visit company offices and/or property locations.
- While performing duties of this job, would occasionally require to stand, walk, sit, reach with hands and arms, climb or balance, stoop or kneel, talk and hear, and use fingers and hands to feel objects and tools.
- Must occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required include close vision, distance vision, depth perceptions, and the ability to adjust focus.
