About the role
The travel coordinator will create and finalize travel arrangements for all Southern University at Shreveport faculty and staff. The travel coordinator will serve as the primary point of contact to initiate, modify and resolve travel plans, including making changes to existing flight and hotel reservations. Exhibit extensive knowledge of policies regarding government travel, including booking with contract fares, when possible and serve as an onsite help technician to respond to any travel-related inquiries.
Responsibilities
- Analyze travel request documents for completeness, timeliness, and compliance with the University and the State of Louisiana travel regulations
- Complete encumbrances for approved travel requests
- Complete airfare reservations, registration payments, and hotel reservations of all approved travel requests
- Audit travel expense reports for completeness, accuracy, and compliance
- Act as card holder for the University's Corporate Business Account
- Reconciles card holder billing statements for travel and purchasing cards
- Prepare journal vouchers to record travel expenses and clear travel advances
- Monitor travel advances for clearance and notify those who are delinquent
- Issue gas cards for vehicles used for University business, maintain records of gas purchases and mileage
- Reconcile university fuel card purchases to gas receipts
- Audit fuel invoices and allocate charges to appropriate departmental budgets
- Print and prepare checks for mailing
- Participates in training of campus personnel
- Advise travelers and assists with the travel process
- Performs general ledger account reconciliations
- Maintain financial records for review by internal and external auditors
- Prepares reports for internal and external parties
Requirements
- Excellent verbal and written communication skills
- Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal
- Excellent organizational skills and attention to detail
- Proficient with Microsoft Office Suite or related software
Qualifications
- Associate degree in Business Administration, Accounting, Finance, Economics or related field from an accredited college or university
Skills
- Knowledge of government travel policies
- Ability to manage travel expenses and reimbursements
- Proficiency with travel management software
