Travel Coordinator
Aerones America LLC, a global leader in advanced wind turbine maintenance and robotics, is seeking a highly organized and detail-oriented Travel Coordinator to support large-scale, nationwide travel operations for our growing team.
About the role
This role will support 100-140 field technicians traveling across the United States, with occasional bookings for Canada and other global locations. You will manage all aspects of travel—including accommodations, airfare, and transportation—for technicians, senior management, project managers, and C-Suite executives. Accommodations will often be booked through Airbnb and hotels in remote areas, requiring strong research skills to ensure proximity and accessibility to worksite locations.
Responsibilities
- Plan and manage business trips effectively, staying within budget constraints while arranging travel, transportation, and accommodations.
- Ensure the safety and comfort of employees while traveling by following internal safety guidelines and selecting appropriate lodging near worksites—even in remote, hard-to-reach areas.
- Handle visa and work permit applications, including preparing and submitting necessary documentation for both domestic and occasional international travel.
- Search, book, and review flights and accommodations through platforms such as Expedia, Airbnb, and major hotel brands—leveraging corporate relationships to secure competitive rates—and adjust bookings as needed.
- Maintain accurate travel records, track expenses, and ensure financial accountability for all travel arrangements.
Requirements
- Proven experience coordinating large-scale employee travel (100+ employees) across the United States.
- Strong track record in booking platforms such as Expedia, Airbnb, Galileo GDS, Sabre, or Amadeus.
- Ability to build and maintain corporate relationships with hotel brands to negotiate discounts and special rates.
- Expertise in researching U.S. locations to secure accommodations that are safe, cost-effective, and strategically located near worksites.
- Effective communication skills with the ability to handle last-minute requests and resolve travel disruptions quickly.
- Strong organizational and time management abilities with keen attention to detail.
- Resilience under pressure and the ability to prioritize in a fast-paced environment.
- Proficiency in English and strong computer skills, including Google Workspace (Docs, Sheets, Gmail, Calendar).
Nice to have
- Experience booking travel for senior executives in addition to field staff.
- Familiarity with Next Matter or similar workflow/operations software.
- Basic knowledge of visa and work permit procedures.
Schedule
Monday - Friday, 8:00am - 5:00pm, 100% onsite in Denton, Texas.
