About the role

The Travel Administrator supports the day-to-day coordination of Eliquent’s travel activities for billable client travel and non-billable corporate travel. This role assists with travel requests, approvals, traveler questions, vendor coordination, and basic travel administration to ensure a smooth and compliant travel experience for employees, consultants, and independent contractors. Working under the guidance of the Sales Enablement organization, the Travel Administrator partners with Eliquent’s travel management provider and internal stakeholders to support travel arrangements, traveler profile setup, onboarding-related travel needs, and routine travel issue resolution.

Responsibilities

  • Support day-to-day administration of Eliquent’s travel activities, including billable client travel and non-billable corporate travel.
  • Assist with travel request intake, approval routing, authorizations, booking coordination, changes, cancellations, and follow-up with the travel management provider.
  • Serve as a first point of contact for routine employee, consultant, and independent contractor travel questions.
  • Help travelers understand booking procedures, travel policy expectations, required documentation, and expense-related processes.
  • Coordinate with Eliquent’s travel management provider to resolve routine traveler issues and escalate more complex matters as needed.
  • Assist with setup and maintenance of traveler profiles for employees, consultants, and independent contractors.
  • Support Consultant Enablement and project teams with onboarding-related travel needs, including travel support for consultants who do not yet have active travel profiles.
  • Maintain accurate travel records, traveler information, approvals, and related documentation in applicable systems.
  • Support basic travel reporting, tracking, and review of travel activity to identify common issues or opportunities for process improvement.
  • Help identify cost-conscious travel options in coordination with the travel management provider and in alignment with company policy.
  • Coordinate routine communications related to travel process updates, traveler reminders, and travel partner guidance.
  • Provide support across EST or CST business hours with appropriate coordination across PST and CET/London concierge coverage.

Requirements

  • Associate’s degree or equivalent work experience in business administration, travel coordination, hospitality, operations, customer service, or a related field.
  • 1–3 years of experience in travel coordination, administrative support, operations coordination, hospitality, customer service, or a related role.
  • Strong organizational skills and attention to detail.
  • Customer-focused communication style with the ability to support employees, consultants, vendors, and internal stakeholders professionally.
  • Ability to manage multiple requests, follow established processes, and escalate issues appropriately.
  • Proficiency with Microsoft Office Suite, particularly Outlook, Excel, Word, and Teams.
  • Comfort working with geographically distributed teams and coordinating across multiple time zones.

Preferred Qualifications

  • Experience supporting corporate travel, travel booking platforms, or a travel management company process.
  • Experience in a professional services, consulting, pharmaceutical, biotechnology, CRO, or life sciences environment.
  • Familiarity with expense management, travel reimbursement, or basic travel policy administration.
  • Experience supporting employees, consultants, contractors, or other distributed workforce populations.
  • Experience maintaining records, trackers, reports, or dashboards in support of an operational process.

Pay

The anticipated base salary range for this position is $65,000 to $75,000 annually. Actual compensation will be determined based on factors including, but not limited to, the candidate's experience, skills, qualifications, geographic location, and alignment with internal equity. Additional forms of compensation may be provided where applicable.
