Responsibilities
- List and close transaction management, including auditing and managing listing, under contract, and closed processes.
- Manage IPA press release requests.
- Manage the collection of mandatory deal information across listing, under contract, and closed stages; maintain accurate reporting of all IPA transaction history.
- Ensure all data and status updates are properly researched and recorded.
- Maintain accurate leadership and agent reports.
- Maintain and update IPA phone rosters by product type and all IPA Outlook distribution lists.
- Assist the Director of Operations in managing, creating, and updating job aids and training videos.
- Manage the division’s general email account; respond to internal and external inquiries; research outdated client contact information, identify current details, and update Salesforce accordingly.
- Aid in new user setup requests.
- Support the centralized billing process for third-party marketing sites.
- Provide broad operational and administrative support as needed to ensure day-to-day operational continuity.
Qualifications
- High school diploma required; an associate/bachelor degree is preferred and considered a plus.
- Two (2) years of experience in administrative support, transaction coordination, or revenue operations.
- Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint and especially Excel).
- Commercial Real Estate experience preferred.
- Strong attention to detail and organizational skills.
- Effective written and verbal communication skills.
- Ability to manage multiple tasks under tight deadlines.
- Possess a friendly, proactive attitude, and a strong desire to learn and grow.
- Adaptable and willing to take on tasks as needed.

Pay and Schedule
- Base hourly range: $29.57 – $32.21 per hour.
- Actual pay will be determined by factors such as education, experience, and job-related skills relevant to the role.
