About the role
The Tradeshow and Event Manager is responsible for owning the planning, coordination, and execution of regional and national tradeshows, conferences, customer events, and internal meetings. This role works cross-functionally with marketing, sales, product, and external vendors to ensure successful event execution that aligns with company objectives, brand standards, and budget requirements. The ideal candidate is highly organized, detail-oriented, adaptable, and thrives in a fast-paced environment with multiple concurrent projects.
Responsibilities
- Manage and own event timelines, checklists, and deliverables to ensure deadlines are met.
- Adhere to and consistently enforce established standard operating procedures (SOPs) to ensure accurate, compliant, and efficient execution of all tradeshow and event activities.
- Manage logistics for tradeshows, conferences, and customer events including booth space, registrations, shipping, hotel accommodations (if applicable), and onsite support.
- Manage exhibit setup and teardown coordination, labor scheduling, and vendor communication.
- Manage booth inventory management, shipping schedules, and event material tracking.
- Oversee sponsorship deliverables and ensure compliance with exhibitor requirements.
- Partner with sales and marketing teams to support event goals, lead generation, and customer engagement initiatives.
- Coordinate with product marketing and clinical teams for demo equipment, presentations, and educational sessions.
- Serve as a point of contact for internal stakeholders, event organizers, and external vendors.
- Complete budget tracking, purchase orders, invoice reconciliation, and expense reporting with a high level of accuracy, attention to detail, and timely follow-through.
- Maintain accurate records of event details, contracts, and post-show documentation.
- Support lead management processes and post-event reporting activities.
- Ensure tradeshow booths and event materials align with company branding and presentation standards.
- Create a positive customer and attendee experience through organized and professional event execution.
- Support VIP events, customer receptions, and hospitality functions as needed.
- Support weekend, after-hours, and onsite event/tradeshow activities when required, while simultaneously managing ongoing day-to-day responsibilities and remote business operations during travel.
- Travel to select events for onsite coordination and operational support.
- Troubleshoot onsite logistics and ensure smooth event execution.
Requirements
- Bachelor’s degree in Marketing, Communications, Business, Event Management, or related field preferred.
- 7–10 years of experience in event coordination, tradeshow management, marketing, or related field.
- Strong organizational skills with the ability to manage multiple projects simultaneously in an accurate, timely, and detail-oriented manner while maintaining professionalism and composure in high-pressure or fast-paced situations.
- Excellent communication and interpersonal skills. Ability to work independently and collaboratively in a team environment.
- Budget, expense, and resource management experience required.
- Must be a result-oriented, team player, people person.
- Must be self-driven to optimize performance without the need for extensive supervision.
- Must have and exhibit excellent presentation skills in small and large group situations.
- Familiarity with exhibit logistics, shipping, and vendor coordination.
- Willingness to travel up to 40% as required.

Physical Requirements
- Regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds and occasionally lift and/or move more than 100 pounds.
- Often required to push/pull weights of over 100 pounds when setting up/dismantling trade shows and/or maneuvering Company equipment into place for display.
- Frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl and talk or hear.
- Must be able to sit and/or drive for long periods of time when travelling.
- Must be able to stand for long periods of time (6-8 hours) for multiple days.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
