About the role

This role involves daily operational and support system duties, including administrative tasks and customer service to ensure smooth trading operations.

Responsibilities

  • Administrative
    • Data entry: Input all commodity trades into ICAPture and various exchanges.
    • Ensure accuracy and timely input of trades.
    • Revise and resend trades as needed.
    • Answer and direct phone calls.
    • Respond to email inquiries.
    • Provide general support to brokers.
    • Maintain deal tickets for brokers.
    • Maintain supply inventory.
  • Customer Service
    • Coordinate all phone calls regarding trade confirmations, including errors and changes requested by counterparties or brokers.
    • Provide daily email reports to customers’ corresponding back office personnel.
    • Identify and assess customers’ needs to achieve satisfaction.
    • Resolve customer issues via phone or email.
    • Open and maintain customer accounts by recording account information.
    • Add or delete clients as needed.
    • Ensure accuracy of addresses, phone numbers, fees, etc.
    • Notify brokers of fee change information.
  • Culture & Conduct
    • Ensure full awareness of and adherence to internal policies relevant to your role.
    • Comply with operational risk requirements, including cultural behaviors, security policies, and regulatory requirements.
    • Complete mandatory training by required deadlines.
    • Act with integrity, due skill, care, and diligence in all duties.

Requirements

  • Ability to manage multiple urgent tasks simultaneously while maintaining accuracy under pressure.
  • Strong verbal and written communication skills for professional interactions with teams and internal stakeholders.
  • Proven track record of punctuality and consistent performance in a high-stakes, time-sensitive environment.
  • Proven customer support experience.
  • Good computer skills (Windows, Microsoft Office, Excel).
  • Strong phone contact handling skills and active listening.
  • Ability to multi-task, prioritize, and manage time effectively.
  • Ensuring compliance with control policies and trading standards.
  • Excellent communication skills and a positive attitude.
  • Attention to detail and problem-solving skills.

Qualifications

  • Essential
    • High attention to detail when inputting sensitive numerical or financial information into digital systems.
    • Experience de-escalating issues and solving problems quickly to ensure client satisfaction.
    • Familiarity with Excel and Outlook for day-to-day scheduling and basic recordkeeping.
