About the Role
The Administrative Assistant performs various tasks to support the day-to-day functions of the office.
Responsibilities
- Greet visitors and direct them to the appropriate departments or personnel.
- Answer, screen, and forward incoming phone calls and emails.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare and distribute correspondence, memos, and reports.
- Support all departments with administrative tasks as needed.
- Assist with data entry, recordkeeping, and basic bookkeeping tasks.
- Maintain and update physical and digital filing systems.
- Order and maintain office supplies and equipment inventory.
- Handle incoming and outgoing mail and packages.
- Assist with ordering or coordinating business luncheons as needed.
- Ensure the office environment is clean, organized, and welcoming.
- Perform other related duties as assigned.
Requirements
- High School Diploma or GED required; some college preferred.
- Prior experience within an office setting preferred.
- Strong proficiency in Microsoft Software (Outlook, Word, Excel) and Adobe.
- Knowledge working with Syspro or similar ERP software preferred.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Commitment to integrity and confidentiality.
Physical Requirements and Work Environment
- Office-based role with standard working hours.
- Must be able to frequently use hands and talk or hear.
- Must be able to occasionally stand, walk, and reach with hands and arms.
- The noise level in the work environment is low to moderate.
