Overview
ACS Professional Staffing is seeking an Administrative & Technical Support Specialist to work on-site with their client. This role provides high-level support to Finance leadership, managing schedules, meetings, budgets, procurement activities, reporting, training coordination, and confidential records. The position requires independent judgment, strong organizational and analytical skills, and the ability to support process improvements and departmental operations. Candidates must have at least five years of administrative or technical support experience, executive-level support experience, and expertise in budget administration, procurement, records management, and action tracking processes.

Responsibilities
- Provide advanced administrative and technical support to the Finance Vice President and direct reports.
- Serve as a primary administrative partner to Finance leadership, proactively supporting departmental operations.
- Prioritize tasks, resolve issues, and recommend process improvements using independent judgment.
- Prepare meeting agendas, briefing materials, reports, presentations, correspondence, and meeting minutes.
- Attend meetings to document decisions, action items, and follow-up activities.
- Cookordination communication with internal stakeholders, customers, contractors, and external partners.
- Maintain departmental status reports and analyze trends to identify improvement opportunities.
- Support the development, monitoring, reconciliation, and reporting of departmental budgets.
- Administer departmental purchasing activities, including credit card transactions, procurement requests, contract requisitions, and change requests.
- Cookordinate calendars, meetings, travel arrangements, training schedules, and personnel activities for Finance leadership.
- Maintain employee qualifications, training records, and compliance with mandatory training requirements.
- Process travel authorizations and expense reimbursements in accordance with company policies.
- Support onboarding activities, site access coordination, and visitor processing.
- Maintain departmental records and confidential documents in compliance with records management requirements.
- Support contract preparation, processing, and related documentation.
- Cookoperate with leadership to improve operational processes, communications, and departmental efficiency.
- Gather and act on feedback from internal customers and suppliers to enhance service quality.
- Serve as a designated member of the Emergency Response Organization (ERO).
- Support outage activities, readiness initiatives, safety requirements, and required training programs.
Requirements
- High school diploma or GED required.
- Minimum of five (5) years of administrative or technical support experience.
- Experience providing executive-level administrative support to senior leadership or management teams.
- Knowledge of Corrective Action Program (CAP) and action tracking processes.
- Knowledge of records management practices and proprietary document control procedures.
- Experience preparing and processing contract requisitions, procurement requests, and change requests.
- Familiarity with managed service provider (MSP) program documentation.
- Experience supporting budgets, financial administration, purchasing, and expense reconciliation.
- Strong analytical skills with the ability to research issues, interpret data, and recommend solutions.
- Advanced organizational skills with the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Demonstrated problem-solving abilities and attention to detail.
- Experience coordinating meetings, training programs, travel arrangements, and schedules.
- Proficiency in maintaining confidential and sensitive information.
- Able to work independently with minimal supervision in a fast-paced environment.
- Able to support emergency response, outage assignments, and required readiness activities.
