About the role

The Team Coordinator at SendCutSend plays a critical role in supporting daily operations, maintaining an organized and welcoming workplace, and helping create an exceptional employee experience. This position serves as a central point of coordination for office operations, employee engagement initiatives, company events, travel planning, and administrative support.

Responsibilities

  • Maintain clean, organized, and fully stocked employee spaces including kitchens, breakrooms, conference rooms, refreshment stations throughout the facility, and common areas
  • Manage inventory and ordering of office snacks, beverages, kitchen supplies, uniforms, and other workplace essentials
  • Coordinate daily catered lunches and work closely with micro market vendors to ensure food availability on non-catered days
  • Greet visitors, answer and direct front door inquiries, and provide a welcoming first impression of SendCutSend
  • Plan and coordinate employee celebrations, recognition activities, and company-wide gifting programs, including sourcing, budgeting, ordering, packaging, and distribution for birthdays, anniversaries, onboarding swag bags, holidays, appreciation gifts, and company milestones
  • Serve as a point of contact for vendors, catering partners, and office service providers
  • Cook up and distribute meals for employees
  • Coordinate and book employee travel arrangements, including flights, hotels, rental cars, transportation, and itineraries for employees across multiple company locations
  • Support planning and execution of company events, team activities, meetings, and culture initiatives
  • Aid in onboarding logistics for new hires, including workspace setup, supplies, and welcome coordination
  • Manage company-wide uniform ordering, inventory, and distribution for employees across all facilities
  • Support leadership and departments with administrative tasks, scheduling, and special projects as needed
  • Monitor office supply levels and proactively resolve operational or organizational needs
  • Help foster a positive, organized, and team-oriented work environment

Requirements

  • High school diploma or equivalent required
  • 1+ years of administrative, office coordination, hospitality, or customer service experience
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent verbal and written communication skills
  • Comfortable working independently with minimal supervision
  • Proficiency with Google Workspace and/or Microsoft Office
  • Strong attention to detail and follow-through
  • Ability to maintain professionalism and confidentiality when handling sensitive information
  • Reliable attendance and dependable work ethic
  • Positive attitude with a team-first mindset

Qualifications

  • Experience supporting office operations in a manufacturing, warehouse, or fast-paced operational environment
  • Experience coordinating events, employee engagement activities, or travel arrangements
  • Vendor management or purchasing/order coordination experience
  • Familiarity with budgeting, invoice tracking, or expense reconciliation
  • Experience working with catering vendors or workplace hospitality services

Essential Physical Requirements

  • Ability to stand and walk for extended periods throughout the workday
  • Frequent bending, reaching, and stocking of supplies and refreshments
  • Ability to move throughout the facility regularly to support operational needs
  • Ability to operate standard office equipment including computers, phones, printers, and copiers

Work Environment

  • Fast-paced manufacturing and office environment
  • Combination of administrative desk work and active movement throughout the facility
  • Frequent interaction with employees, leadership, vendors, and visitors
  • May require occasional schedule flexibility to support company events or special projects
