About the Role
Join TCEQ Compliance and Enforcement in the Houston regional office to support environmental compliance and enforcement efforts. This posting includes two distinct Administrative Assistant V positions with specialized responsibilities.
Responsibilities
- Administrative Assistant V Position 1:
- Compile information, proofread data, prepare correspondence, and handle mailouts.
- Copy and distribute reports, and code reports for central records.
- Assist in developing Standard Operating Procedures (SOPs) and guidelines.
- Answer telephones, distribute calls/messages, greet visitors, and direct them to appropriate staff.
- Receive and route incoming packages, mail, faxes, and electronic documents.
- Develop and maintain databases for tracking information, produce spreadsheets, and manage filing systems.
- Implement efficiencies in tracking mechanisms.
- Work with the Records Administrator to ensure compliance with agency records management policies (retention, storage, access, destruction).
- Communicate new procedures and coding to staff.
- Compile and review reference data for staff and public/private entities.
- Support general office activities (travel, procurements) and coordinate administrative tasks with regional staff.
- Assist in training new administrative staff.
- Interpret administrative rules, regulations, policies, and procedures for program areas and communicate with agency staff, management, and the public.
- Administrative Assistant V Position 2:
- Respond to Public Information Requests (PIRs) for Air, Water, and Waste regulatory programs, ensuring compliance with the Texas Public Information Act.
- Interpret requests, query databases for responsive information, and coordinate fulfillment with the Central File Room, Copy Center, and Program Area contacts.
- Track progress of assigned PIRs and resolve issues.
- Maintain and coordinate the regional records system (coding, retention, storage, access, destruction).
- Monitor records management activities to ensure conformance to agency standards and program requirements.
- Initiate corrections for nonconformities and serve as the point of contact for records management requirements.
- Assist in developing work standards and train staff on records management, responsive information analysis, and the PIR process.
- Conduct audits and recommend process improvements.
- Provide administrative support: retrieve/process mail, customer reception, answer phone calls, and handle cash processing for the region.
- Develop, coordinate, and maintain databases, record-keeping, and filing systems using cloud tools.
- Create written Standard Operating Procedures for administrative functions.
Requirements
- Graduation from a standard senior high school or equivalent plus five years of full-time administrative support experience in an office setting.
- OR two years of experience as an Administrative Assistant IV at TCEQ.
- College credit substitution: Fifteen semester hours from an accredited institution may substitute for each six months of required experience (maximum substitution: four years).
- If using college credit to qualify, submit an official transcript or foreign credential evaluation in CAPPS.
Key Qualifications
- Customer service experience in an office setting (e.g., greeting customers, answering/screening/routing calls).
- Experience preparing/proofreading correspondence, forms, brochures, manuals, or charts.
- Primary responsibility for overseeing a records management system in a large or complex organization.
- Experience responding to Public Information Requests (PIRs) or Open Records Requests.
Schedule
Standard business hours: Monday–Friday, 8:00 a.m. – 5:00 p.m. Individual and workgroup schedules determined by the TCEQ Houston Region Office.
