Talent Operations Specialist
At Hiya, we’re making business calls more trusted, useful, and effective. Voice remains one of the most important ways businesses communicate with their customers, but the value of a call depends on trust. When customers do not recognize who is calling or why, important conversations are missed, customer relationships suffer, and business outcomes are harder to achieve. Hiya helps businesses create trusted calling experiences that benefit both sides of the conversation: enterprises can reach customers with confidence, and customers can answer with confidence. Our products support branded business calling, trusted caller identity, call performance insights, customer engagement, and voice security capabilities that help businesses strengthen relationships and improve outcomes. This role sits in a core business area for Hiya and is focused on helping SMB and enterprise customers succeed.
About the role
We are seeking a talented and motivated Talent Operations Specialist to join our team in a key individual contributor role. This position owns program management for Global University Recruiting, end-to-end interview scheduling and coordination, recruiting operations, and special projects. The ideal candidate will be an Ashby power-user who thrives on building smooth, scalable recruiting processes and driving cross-functional programs, collaborating closely with stakeholders across the business. This is not a full-cycle recruiting role. Instead, it's built for someone who wants to own the operational backbone of recruiting, including program management, coordination, systems, and process, at a level that carries real ownership and visibility across the org. At Hiya, we are passionate about innovation and committed to excellence, striving to build a team that embodies our core values. With numerous opportunities for professional development and visibility within the organization, this role offers the chance to make a significant impact in a dynamic and fast-paced environment.
Responsibilities
- Own the end-to-end planning, relationship management and execution of our Global University Recruiting program, including career fairs, campus partnerships, internship pipelines, and virtual or in-person recruiting events. Some travel may be required to support on-campus programs and events.
- Own scheduling and coordination for open roles and recruiting projects across the business, managing complex, multi-stakeholder interview logistics with a high bar for accuracy and candidate experience.
- Serve as our go-to Ashby expert, managing workflows, templates, data integrity, and reporting, and partnering with Recruiting Ops to continuously improve how the system supports the team, including evaluating and implementing AI-powered tools to streamline scheduling, sourcing support, and candidate communication.
- Ensure a positive, engaging, and consistent experience for all candidates, from initial contact to final offer, with transparent communication and timely feedback throughout.
- Partner with hiring managers, recruiters, and department heads to align on process, timelines, and logistics, providing operational guidance so recruiting programs run efficiently, without owning full-cycle candidate sourcing or closing.
- Leverage recruiting metrics and AI-assisted analytics to track program and pipeline performance, identify bottlenecks, and recommend process improvements.
- Lead and contribute to recruiting-related projects, such as employer branding initiatives, process improvements, and ad-hoc operational needs, as an owner, not just a contributor.
Requirements
- 4+ years of experience in recruiting operations, recruiting coordination, or talent program management, with a track record of owning processes independently rather than just executing them.
- Hands-on Ashby expertise, including building and scaling ATS workflows, templates, and configurations, not just day-to-day use.
- Experience managing complex, multi-stakeholder interview scheduling and logistics, including panels across multiple time zones and calendars.
- Experience planning and executing university or campus recruiting programs and events, with willingness to travel occasionally to support on-campus programs.
- Comfort using recruiting data and analytics to identify trends and drive process improvements, not just track metrics.
- Strong project management skills, with the ability to own a special project or process improvement from scope to completion with minimal oversight.
- Advanced proficiency using AI tools to improve recruiting workflows, from scheduling and communication to process design and data analysis, with sound judgment about when and how to apply them.
Skills
- Ashby (ATS) workflow building, template creation, and configuration management.
- Multi-stakeholder interview scheduling across time zones and calendars.
- University recruiting program and event planning, including career fairs and campus partnerships.
- Data-driven recruiting metrics and AI-assisted analytics for performance tracking and process improvement.
- Project management: owning initiatives from scope to completion with minimal oversight.
- Strategic application of AI tools to enhance scheduling, sourcing, communication, and data analysis.
- Stakeholder management with hiring managers, recruiters, and department heads.
- Experience supporting technical or high-volume hiring at fast‑growing tech/SaaS companies (a plus).
- Mentoring or guiding junior coordinators or operations team members (a plus).
- Familiarity with employer branding or candidate marketing initiatives (a plus).
- Knowledge of recruiting tech stack beyond the core ATS (Google Suite, scheduling tools, HRIS platforms) (a plus).
Benefits
- Equity compensation aligned with your impact and the company's growth.
- Learning & Development budget to support your growth and real internal mobility for career pathing.
- A culture of support, empowerment, and transparency that encourages ownership, learning from failure, and continuous improvement.
- Recognition for culture, innovation, leadership, and compensation from outlets such as Built In, GeekWire, Comparably, G2, Forbes, and Deloitte Technology Fast 500.
- An innovative, people‑centric environment focused on helping employees grow personally and professionally.
