Surgical Scheduler Job Description

The surgical scheduler performs a wide range of surgical scheduling duties for procedures requiring anesthesia. Responsibilities include initiating the insurance authorization process, scheduling pre-admission testing and clearance appointments, and scheduling appropriate surgical procedures with the appropriate facility. The scheduler must have knowledge of urological conditions, procedure types, ICD codes, CPT codes, and necessary paperwork and equipment.

Primary Duties and Responsibilities

• Schedules patient appointments and surgeries. Verifies patient's insurance and referrals before scheduling the procedure.
• Manages assigned physician’s surgery/endo schedule, documents surgery in EMR system (medent), and updates physician’s personal calendar.
• Advises patients of scheduled procedures and provides instructions.
• Updates all departments of upcoming procedures including primary care office, ambulatory surgery center, hospital, and billing department.
• Collects prior authorization information for all surgical and endovascular interventions.
• Schedules all preoperative imaging and testing.
• Schedules all appropriate testing and post op office visit as required.
• Completes all paperwork for patients and appropriate departments.
• Updates EMR (MEDEN) for all activities.
• Notifies all appropriate individuals of scheduling changes.
• Keeps physicians informed on patient waiting status, reschedules or cancels as needed.
• Optimizes physician scheduling and productivity.

Qualifications

• 1 year previous experience in medical scheduling or a similar role is required.
• 1 year experience with medical terminology is required.
• Proficient in using various scheduling systems and EMR systems (Medent) preferred.
• Strong attention to detail and organizational skills required.
• Excellent communication and interpersonal skills required.
