About the role

This position supports academic and administrative operations within the Doctor of Occupational Therapy (OTD) program. Key responsibilities include assisting the Program Director with accreditation document preparation, managing records and confidential information, event planning, budget management, and supporting student queries.

Responsibilities

  • Serve as a central point liaison with other departments and external constituencies in coordinating OTD program matters, including visitor issues, correspondence, and appointment scheduling.
  • Follow-up on operational commitments, coordinate appointments, and manage calendars for program needs, such as facilities usage, events, catering, and travel arrangements.
  • Oversee department budget management, including submission of reimbursements, pay invoices, reconciliation of transactions, maintenance of expense records, and tracking department budgets.
  • Provide resources to student queries, assist in preparing internal and external reports and presentations, and verify admission and program requirements.
  • Manage and develop software operations for maintaining compliance with student requirements, establish, update, and maintain department files and confidential records, and coordinate faculty interviews and onboarding.
  • Coordinate continued website development and updates for the OTD program, assist in marketing the program, and prepare meeting agendas and attend OTD Program meetings.
  • Under the guidance of the Program Director, coordinate onboarding of part-time administrative and clerical staff, and assist in maintaining websites and social media applications.
  • Perform other duties as assigned, including flexible hours for recruitment and program events.

Qualifications

  • A minimum of an Associate's degree, or equivalent college coursework, is required. A Bachelor’s degree is preferred.
  • At least two years of office experience is required, with experience in higher education or specific administrative support preferred.
  • Strong interpersonal skills, quick learning ability, and attention to detail are essential.
  • Excellent written and oral communication skills, as well as strong computer skills in Microsoft Office Suite and Google applications, are required.
  • Demonstrated ability to manage financial records, budgets, and databases is necessary.
  • Discretion and confidentiality handling are key.
  • Ability to work independently, prioritize tasks, and meet deadlines is crucial.

Benefits

The position offers a full-time overtime-exempt executive staff role with an annual salary of $40,000-$42,000, depending on qualifications and experience.
