About the role

The Medical Practice Office Supervisor directly manages the staff in each business unit. The Supervisor coordinates recruitment of Client Service Representatives and Medical Assistants, evaluates staff, and is responsible for any necessary disciplinary actions including proper supporting documentation. This role provides administrative and clerical support to the department director, assists with departmental operations, and responds to operational inquiries. The Supervisor develops and implements office procedures and processes that support operations and directs the work activities of clerical personnel. This position supports organizational goals by providing quality customer service, participating in performance improvement efforts, and demonstrating a commitment to teamwork and cooperation.

Responsibilities

  • Manage and supervise staff in each business unit.
  • Coordinate recruitment of Client Service Representatives and Medical Assistants.
  • Evaluate staff performance and handle disciplinary actions with proper documentation.
  • Provide administrative and clerical support to the department director.
  • Assist with departmental operations and respond to operational inquiries.
  • Develop and implement office procedures and processes to support operations.
  • Direct the work activities of clerical personnel.
  • Support organizational goals through quality customer service and performance improvement efforts.

Requirements

  • High School Diploma or equivalent required; Associate’s degree or specialized secretarial/medical office billing training preferred.
  • Supervisory experience preferred.
  • Minimum 5-7 years of secretarial experience or combined medical office and medical billing experience, preferably within a multi-functional office.
  • Well-developed communication, interpersonal, and organizational skills.
  • Proficiency with computer applications.
  • Knowledge of medical terminology and/or transcription may be required within some medical departments.
  • Proficiency in Clinical Applications preferred at time of hire; training will be provided, and skill will be required within 30-60 days from date of hire.

Work Environment

Potential for exposure to the hazards and risks of the hospital environment, including exposure to infectious disease, hazardous substances, and potential injury. Position requires desk/computer work for a majority of the time, some walking and standing, and occasional lifting up to 20 lbs. Increased amounts of repetitive motion with regard to typing are required.
