Substitute Specialist
General Description
The Specialist - Substitutes is responsible for working directly with the substitute candidate pool and substitute candidates. The position will assist with onboarding, interviewing, and training substitutes who provide school-based support for absences or vacancies on a daily and/or long-term basis.
Essential Job Functions
- Review and evaluate all substitute applications.
- Interview substitute candidates for qualification into the substitute hiring process.
- Conduct orientation sessions for all substitutes.
- Aid in the completion of the hiring process for substitutes.
- Utilize technology for organization, communication, and documentation.
- Work with other CCPS departments to provide additional, elective training for substitutes, such as Special Education.
- Craft and distribute refresher courses to active substitutes as needed.
- Coordinate and assist with SmartFind Training to new staff and administrator users.
- Communicate and work collaboratively and confidentially with administrators.
- Aid in gathering and distributing information and data to enhance instruction to CCPS students.
- Assist in job fairs and other recruiting events.
- Aids in creating marketing recruitment materials.
- Runs various data reports.
- Performs other duties as deemed necessary.

- Regularly and frequently makes contacts at all organizational levels within and outside the school system to explain programs and policies and to recruit for substitute and temporary positions.

Formal Policy-Setting Responsibilities
- Makes recommendations for policy revisions as related to recruiting and retaining substitutes.
- Makes recommendations relating to the third-party software.

- Demonstrated ability to interpret and apply policies and procedures.
- Must possess excellent oral and written communication skills.
- Requires the ability to maintain complex records and to prepare reports from such records.
- Must have the ability to work independently or as a member of a team.
- Excellent customer service skills and the ability to work efficiently under pressure and effectively manage multiple deadline actions.
- Proficient with Microsoft Office Suite or Google Suite.
Additional Job Requirements
- Bachelor’s degree required.
- Teaching experience or human resources expertise preferred.
- Has demonstrated interpersonal and leadership skills for working effectively with colleagues, administrators, and students.
- Has demonstrated commitment to personal professional growth and learning.
- Excellent oral and written communication skills.
