Position Overview
The Student Office Assistant will provide general clerical support to the Department of Physics & Astronomy, contributing to a variety of administrative and organizational tasks.
Responsibilities
- Greet and assist visitors in a professional and friendly manner
- Filer documents and maintain accurate records/logs
- Perform word processing tasks, including correspondence and reports
- Organize and stock the workroom with necessary supplies
- Maintain materials and records in the reception area
- Run campus errands and assist with deliveries
- Support office personnel with large-scale projects or tasks as needed
Required Qualifications
- Exceptional written and oral communication skills, as indicated on application materials.
- Strong computer skills (Microsoft Office Suite, Adobe Creative Cloud, etc.), as indicated on application materials.
- Prior experience handling confidential materials, as indicated in application materials.
- Familiarity with scanning documents, as indicated in application materials.
Preferred Qualifications
- Federal Work Study funds as part of his/her financial aid package during the academic year, as indicated in application materials.
- Prior work experience demonstrating the ability to maintain an assigned schedule, as indicated in application materials.
- Prior work experience in a customer facing setting, as indicated in application materials.
- Prior work experience with a university or office type setting, as indicated in application materials.
- Experience with promotional document creation using tools in the Microsoft Office Suite (Publisher) or online platforms (Canva), as indicated in application materials.
- Experience with photo and video editing software, as indicated in application materials.
Position Requirements
- During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours.
- For summer periods the student hourly must: (1) have been enrolled in no less than 6 hours in the past spring semester or (2) be pre-enrolled in the upcoming fall semester in no less than 6 hours or (3) be enrolled in summer session or (4) be admitted to study in the upcoming fall semester.
- Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA/GTA/GA appointments DO NOT apply to Student Hourly appointments).
Employment Conditions
- Student employees are not eligible for remote work arrangements unless an exception is approved by the unit leadership and HR.
- This is an hourly/non-exempt position. A student employee cannot hold an hourly/non-exempt position and a salaried/exempt graduate or undergraduate position (GRA/GTA/GA/RUA/RGA) concurrently.
