About the role

The Staffing Specialist is the subject matter expert for the Kronos Scheduling System, responsible for the 24/7 staffing schedule for the Department of Nursing. This role coordinates full-time, part-time, pool, float, and agency staffing to meet the department's changing needs. The specialist assesses staffing across all units daily, weekly, and monthly, facilitating appropriate adjustments. Changes to established schedules—including call-outs or other approved time changes—are managed in the office. The specialist also serves as the timekeeper for the Department of Nursing, reviewing exception sheets for data entry on a daily basis. Additionally, the role supports Patient Care Managers, Directors, and Nursing Supervisors in meeting staffing needs and performs secretarial and clerical duties.

Schedule

11:00 AM – 7:30 PM (Evening Shift)

Responsibilities

  • Assess and adjust staffing for all nursing units on a daily, weekly, and monthly basis.
  • Coordinate full-time, part-time, pool, float, and agency staffing to meet departmental needs.
  • Manage schedule changes, including call-outs and approved time adjustments.
  • Serve as the timekeeper for the Department of Nursing, reviewing exception sheets for data entry.
  • Support Patient Care Managers, Directors, and Nursing Supervisors in meeting staffing needs.
  • Perform secretarial and clerical duties as required.

Requirements

  • High school graduate with a minimum of five years of secretarial experience or an Associate's Degree and three years of secretarial experience.
  • Minimum of two years of experience in a healthcare environment.

Skills

  • Strong organizational skills and attention to detail, with the ability to perform responsibilities accurately despite continuous interruptions.
  • Excellent communication and interpersonal skills, including diplomacy and tact.
  • Ability to prioritize staffing needs and function independently with minimal supervision.
  • Adaptability to fluctuating situations and creative problem-solving abilities.
  • Knowledge of medical terminology preferred.
  • Good judgment in employee interactions and ensuring confidentiality of nursing information.
  • Excellent time management skills.
  • Proficiency in Microsoft Word, Excel, database management, and other software applications.
  • Knowledge of Kronos Timekeeper, Advanced Scheduler, and Kenexa preferred.
  • Microsoft Outlook proficiency.
