About the Role

Hillcrest Health & Living is looking for an organized, responsive, and relationship-focused Staffing Specialist to join our Hillcrest Caring Companions team. This role is an important part of creating a consistent, reliable experience for both clients and team members. The Staffing Specialist coordinates schedules, fills open shifts, and makes thoughtful matches between clients and caregivers based on availability, skill set, and personality.

Responsibilities

  • Fill daily unassigned shifts with the best available team member based on client needs, skill set, availability, and fit.
  • Proactively identify and fill open shifts to prevent gaps in service or lost care hours.
  • Create and maintain monthly team member schedules.
  • Consider team member availability, skills, and personality when making client assignments.
  • Track and confirm schedules to ensure accuracy and appropriate coverage.
  • Respond to team member calls regarding schedule changes, availability, or requests in a professional and solutions-focused manner.
  • Respond to client and family questions or concerns related to scheduling.
  • Coordinate introductions and job shadows between new clients and the team members who will support them.
  • Partner closely with the Client Care Coordinator and Client Support Assistant to ensure strong client and caregiver matches.
  • Process PTO requests while considering staffing coverage and continuity of care.
  • Help resolve last-minute call-offs, schedule changes, and coverage needs.
  • Participate in rotating on-call phone coverage to support after-hours client and team member scheduling needs.
  • Assist with client chart filing and other administrative responsibilities as needed.
  • Maintain clear, timely, and professional communication with clients, families, and team members.
  • Help create a positive experience by keeping schedules organized, coverage consistent, and communication clear.

Requirements

  • Previous experience in staffing, scheduling, workforce coordination, healthcare, home care, senior living, customer service, or a similar environment.
  • Strong organization and time-management skills.
  • Ability to manage multiple schedules, priorities, and last-minute changes at the same time.
  • Strong problem-solving skills and the ability to make timely decisions.
  • Excellent communication skills with clients, families, team members, and leadership.
  • A professional and diplomatic approach when handling schedule changes, call-offs, or concerns.
  • Ability to anticipate coverage needs and take action before they become service issues.
  • Strong attention to detail when maintaining schedules, availability, and confirmations.
  • Ability to match team members thoughtfully based on client needs, skill set, availability, and personality.
  • Strong customer-service instincts and a desire to create a positive experience for clients and team members.
  • Ability to work independently while collaborating closely with the Caring Companions team.
  • Comfort using scheduling systems, technology, and other administrative resources.
  • Flexibility to participate in rotating on-call responsibilities.

Qualifications

  • High school diploma or equivalent required.
  • At least one year of experience performing scheduling or staffing duties required.
  • Previous experience in home care, healthcare, senior living, private duty, staffing, or a similar service-focused environment preferred.

Physical & Other Requirements

  • Must be able to speak, read, and write English.
  • Must be able to independently lift up to 35 pounds.
  • Must be able to perform repetitive sitting, bending, standing, and movement as needed.
  • Must be flexible and calm when working with clients, families, or team members during stressful situations.
  • Must be able to work in a fast-paced environment with strong attention to detail.
  • Must be able to utilize technology, scheduling systems, and available resources efficiently and effectively.
  • Must be able to travel to multiple work locations as needed.
  • Must maintain a current driver’s license and required automobile insurance coverage.
  • Possible exposure to communicable diseases and bodily fluids.
  • Must be available to participate in rotating on-call phone coverage.
  • Other duties as assigned.
