Summary
Reporting to the Manager of Operations of Inpatient Nursing, under general supervision and according to established policies and procedures, schedules all levels of nursing department staff according to budgeted allocations, identifies department-wide and unit specific deficits, and arranges adequate coverage for shifts and future shifts. Enters employee information and work schedules into a computerized resource management system, processes nursing department payroll, and performs a variety of complex clerical functions.
Responsibilities
- Reviews nursing department schedule to ensure all work schedules/shifts are filled/covered.
- Arranges coverage utilizing existing and potential resources to maintain cost-effective solutions and appropriate staffing ratios.
- Utilizes the computerized scheduling system and manual reports to track, schedule, and record staff assignments, and attendance activities.
- Updates employee information and verifies and retrieves data.
- Generates management reports and collaborates with stakeholders to manage payroll activities.
- Communicates with nursing managers about per-diem and float qualifications.
- Ensures department's scope of services meets internal and external customer needs.
- Demonstrates flexibility and innovation to facilitate operational improvements.
- Responds to and provides direction on changing workload during crises and emergencies.
- Exhibits effective decision-making skills.
- Monitors staffing to ensure optimal use of scheduled time and overtime for maximum productivity.
- Assists with cost containment by encouraging use of benefit time during periods of low census/workload.
- Maintains confidentiality of sensitive and private information.
- Controls timely and appropriate flow of information throughout the department and the organization.
- Understands hospital personnel and payroll policies and uses them as a guide for assigning open shifts.
- Provides functional guidance to new employees regarding clerical operations, nursing work-scheduling system, and department policies/procedures.
- Performs other clerical activities such as daily paperwork, filing, maintaining manuals, preparing reports, etc.
Minimum Qualifications
- Basic knowledge: Completion of high school or General Equivalency Diploma.
- Ability to handle stressful situations and multiple demands.
- Excellent communication and customer service skills.
- Multi-tasking and organizational skills.
- Familiarity with personal computers and mainframe-based system applications.
- Proficient typing and computer keyboard skills.
- Interpersonal skills to interact with a variety of hospital personnel.
- Organizational and analytical ability to arrange schedules considering multiple criteria and priorities.
Experience
- 2-3 years job-related experience preferred, to be familiar with most, if not all, departmental operations and regulations.
Work Environment and Physical Requirements
- Fast-paced office environment with urgent conditions associated with addressing nursing department staffing schedule changes.
- Must be able to perform frequent fine motor skills.
Independent Action
- Follows established policies and procedures under general supervision.
- Refers specific complex problems to the supervisor when clarification is needed.
