Job Overview

Responsible for organizing and managing information in the Nurse Staffing Office (NSO). Works with ADP, and other related software systems. Provides secretarial, receptionist, clerical, and general office duties, including scheduling, staffing, and payroll, completing activities with minimal supervision.

Independently, oversees payroll and payroll function and coordinates support for Clinical Operations Managers (COM). Provides staffing and payroll reports directly to Supervisor(s)/Manager. Interacts with all levels of staff, supervision, and management. Collaborates with other Staffing Assistants on all aspects of the job. Responsible for training new staff. Coordinates the duties of other staffing office personnel.

Contributes to the department to fulfill its mission and exceed its goals. Is responsible for reporting identified safety issues as hazardous environments (i.e. damaged floors/walls/ceiling tiles/unsecured areas) and medical errors, etc.

Qualifications

  • High School Diploma or GED equivalent
  • Business Office experience
  • Must have previous electronic payroll, staffing, & scheduling experience
  • Computer, word processing skills and telephone experience
  • Associate’s degree (preferred)
  • ADP experience preferred

Scheduling Requirements

Shift varies

Per Diem/ as needed/ including weekend and holiday

Essential Functions

  • Adapts to varying work requirements dependent on departmental needs
  • Aids in ADP training
  • Calling and assuring staff replacements
  • Communicates with the Clinical Operations Managers and Collaborates with Unit Leaders on staffing issues
  • Computer skills including data entry, report generation, and creation of reports
  • Confers with the Clinical Operations Manager, staffing daily and planning staffing based on requirements
  • Covers extraordinary weather conditions protocol
  • Demonstrates professional conduct that is governed by ethical codes of behavior
  • Maintains ADP and works on expansion of scheduling capabilities
  • Maintains ADP to assist with accurate payroll completion
  • Maintains confidentiality in all hospital-related issues
  • Maintains daily records of census, activity, acuity, and staffing needs
  • Maintains daily records of patient/nurse ratio and submits monthly electronically to DOHM
  • Maintains expiration log as per policy guidelines, communicating with units and Medical Examiner’s office
  • Processes paperwork for personnel action changes
  • Telephone communication
  • Word processing skills
