Responsible for

  • Deploys float staff to units based on float pool criteria and guidelines to ensure adequate coverage for shifts.
  • Creates and maintains daily staffing schedules to meet patient care needs and acuity.
  • Sets and reassesses assignments of associates based on census, skill mix, and competencies.
  • Maintains real-time staffing levels and initiates adjustments (call-ins, low census, reallocation).
  • Collaborates with facility leaders to assist with unit-based staffing and scheduling requests.
  • Schedules float staff for training and skills validation.
  • Processes call-outs, PTO, and schedule change requests according to policy and department procedure.
  • Maintains staffing records and updates the scheduling system accurately.
  • Escalates concerns to leadership as necessary.
  • Supports continuity of staffing operations by cross-training and providing scheduler coverage when needed.
  • Creates, maintains, and produces reports related to float pool activity and metrics.
  • Performs various office support duties specific to the department.

Qualifications

  • Preferred: Associates Degree
  • Required: High School Diploma or Equivalent
  • Experience: 0-1 years Administrative
  • Preferred: 1-3 years Hospital staffing or scheduling, or a closely related function

Skills and Abilities

  • Knowledge of the business structure of clinical areas, nursing staffing structure, and staffing office operations.
  • Knowledge of hospital staffing/scheduling policies and procedures.
  • Proficient in scheduling systems and electronic timekeeping software.
  • Ability to prioritize and execute multiple tasks within deadlines with minimal supervision.
  • Excellent communication skills with the ability to interact well with leaders and staff.
  • Ability to determine appropriate course of action in more complex situations and when to escalate issues to leadership.
  • Ability to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.
  • Proficiency in the Microsoft Office program or programs (Word, Excel).
  • Ability to demonstrate data entry accuracy and attention to detail.

Physical Demands

  • Infrequent travel outside office.
  • Physical activities may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
  • Must have good balance and coordination.
  • Light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
  • The conditions to which the Associate will be subject in this position: The Associate is not substantially exposed to adverse environmental conditions; job functions are typically performed under conditions such as those found in general office or administrative work.
