Staffing Coordinator

About the Role

This position involves managing staffing coverage, processing scheduling changes, and maintaining accurate records within the scheduling program. The role requires coordination with employees, department managers, and union representatives to ensure proper staffing levels and adherence to collective bargaining agreements.

Responsibilities

• Provide staffing coverage for designated shifts and units as needed, based on acuity staffing guidelines (50%):
  • Allocate staff according to daily needs by deploying and re-deploying staff as necessary.
  • Make appropriate telephone calls on a regular basis to coordinate staffing.
• Process staffing changes marked on the daily and master schedules into the computer using appropriate scheduling systems (30%):
  • Maintain and award all union employee PTO requests according to the Collective Bargaining Agreement.
• Edit and prepare nursing staff payroll for approval (20%).
• Post and award open shifts for last-minute schedule changes across departments in the scheduling software.
• Process PTO and trade slips in the computer and on master and daily schedules on an occasional basis.
• Communicate with employees regarding schedules, PTO benefits, and union contract provisions.
• Record and maintain attendance records for all nursing employees and coordinate disciplinary meetings as needed.
• Train new hires on the time and attendance system and scheduling system.
• Perform other duties as assigned.

Requirements

• High School Diploma or GED equivalent.
• Associate's degree in secretarial services preferred.
• One year of secretarial and medical experience preferred.
• Proficiency in personal computers, Microsoft® Windows, and strong organizational and interpersonal skills.
• Ability to handle multiple tasks, work independently, and maintain regular and predictable attendance.

• Able to wear personal protective equipment, including latex materials or appropriate substitutes.
• Ability to move freely about the facility with or without an assisted device.
• Overall vision and hearing necessary, with or without assisted devices.
• Frequently required to sit, stand, or walk for long periods; may require postural changes such as stooping, kneeling, or crouching.
• Some exposure to bloodborne pathogens and other potentially infectious materials; must follow MyMichigan Health bloodborne pathogen and TB testing requirements.
• Dexterity required for handling, reaching, grasping, fingering, and feeling; may require repetition of these movements.
• Ability to stay awake and work independently while getting along with others.
