Position Summary
The Staffing Coordinator is responsible for organizing starts of care for new home care clients while coordinating caregiver schedules to ensure quality coverage and continuity of care. This role serves as a key point of communication between clients, caregivers and agency staff to ensure efficient staffing and ongoing service coordination.
Key Responsibilities
- Collaborate with Intake on possible leads and referrals
- Maintain accurate client records in agency software systems
- Coverage dates and caregiver assignments
- Follow agency policies, HIPAA regulations, and Department of Health requirements
- Create and maintain caregiver schedules to ensure all client shifts are covered
- Match caregivers with clients based on availability, skills, location, and client preferences
- Manage schedule changes, call-outs, replacements, and emergency staffing needs
- Confirm caregiver assignments and communicate schedule updates promptly
- Monitor overtime, staffing gaps, and coverage needs
- Coverage with caregivers regarding availability and schedule adherence
- Serve as a primary contact for clients, families, and caregivers regarding scheduling concerns
- Address client service issues professionally and promptly
- Maintain positive relationships with caregivers and referral partners
- Support caregiver retention through effective communication and responsiveness
- Participate in on-call rotation if required
Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree preferred
- Previous experience in home care, healthcare scheduling, staffing, admissions, or customer service preferred
- Knowledge of EVV, scheduling software, and electronic medical records preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Ability to work under pressure and adapt quickly to changing schedules
- Proficient in Microsoft Office and computer systems
- Bilingual (English/Spanish) preferred but not required
