About the Role
The primary purpose of this position is to ensure adequate and appropriate staffing of the facility nursing department to meet the needs of the residents based on budget, census, and as directed by facility administration.
Responsibilities
- Assist in maintaining a current listing of all resident care employee phone numbers and update the business office with current posting of all department managers' phone numbers.
- Maintain daily tardy and absenteeism calendars and report excess tardiness or absenteeism to the Director of Nursing Services (DNS).
- Work with Human Resource Director and DNS to schedule modified work duty employees in accordance with work restrictions and facility policy.
- Complete necessary nursing department employee records upon hiring, job reclassification, and discharge in a timely manner.
- Assist employees in accurate completion of forms pertinent to scheduling and staffing (e.g., leave and day off requests, time cards).
- Complete monthly nursing schedules, coordinating requests to ensure appropriate coverage of units, and post work sheets/time schedules.
- Coordinate variances with the DNS and assist in completion and filing of designated reports.
- Perform miscellaneous duties pertaining to staffing and assist nursing supervisory personnel as necessary.
- Answer employee calls regarding staffing/scheduling functions and prepare written correspondence as needed.
- Answer applicant calls regarding position availability and coordinate interviews as appropriate.
- Ensure newly hired nursing staff receive time cards and schedules prior to their orientation date.
- Assist in obtaining nursing care staff information needed for daily posting requirements.
- Consult with nursing department staff and supervisors concerning staffing/scheduling needs to improve services or correct problem areas.
- Make written or oral reports/recommendations to the DNS concerning staffing and scheduling issues.
- Develop and maintain a good working rapport with interdepartmental personnel and other departments within the facility.
- Review complaints and grievances pertinent to scheduling and staffing, and report to the DNS.
- Agree not to disclose assigned user ID, password, or resident's protected health information, and report any violations or unauthorized access attempts.
- Attend various facility committee meetings (e.g., safety, recruitment and retention) as required.
- Collect and compile records for committee/DNS review and prepare reports on nursing department labor issues.
- Implement recommendations from established committees as instructed.
- Assist in interviewing CNAs when requested and maintain confidentiality of all pertinent employee information.
- Assist with record-keeping and documentation of attendance, tardiness, and employee performance appraisals.
- Confirm license/certification and current standing with state-approved agencies for all new hires prior to orientation.
- Maintain records of current certifications/licenses for nursing department employees.
- Report known or suspected incidents of fraud to the Administrator.
- Provide orientation schedules to newly hired nursing personnel and assign staff members to provide orientation.
- Facilitate a quality orientation program by communicating new hire orientation schedules to unit managers and staff.
- Attend in-service training programs as scheduled and assist with record-keeping for facility in-service education and orientation classes.
- Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately.
- Follow established safety procedures and precautions when operating office equipment.
- Ensure nursing supervisory supplies are replenished in work areas as necessary and report equipment/supply needs to your supervisor.
- Ensure work/assignment areas are clean and equipment/supplies are properly stored.
- Report suspected or known incidence of fraud relative to false billings, cost reports, or kickbacks.
Qualifications
- Must possess, as a minimum, a high school education or its equivalent. Certified Nursing Assistant (CNA) or Certified Medication Aid (CMT) is a plus.
- Must be able to read, write, speak, and understand the English language and read technical procedures.
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies, and the general public.
- Must hold a CNA or CMT license valid in Missouri.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Physical Demands
- Must be able to move intermittently throughout the workday.
- Must be able to speak and write the English language in an understandable manner.
- Must be able to cope with the mental and emotional stress of the position.
- Must be able to see and hear or use prosthetics that enable these senses to function adequately.
- Must function independently and have flexibility, personal integrity, and the ability to work effectively with residents, personnel, and support agencies.
- Must meet the general health requirements set forth by the facility's policies, including a medical and physical examination.
- Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and sometimes hostile people within the facility.
- Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet and carry such weight a minimum distance of 50 feet.
- May be necessary to assist in the evacuation of residents during emergency situations.
Work Environment
- Works throughout the nursing service area (e.g., drug rooms, nurses' stations, resident rooms).
- Moves intermittently during working hours and is subject to frequent interruptions.
- Involved with residents, personnel, visitors, government agencies, etc., under all conditions and circumstances.
- Subject to hostile and emotionally upset residents, family members, personnel, and visitors.
- Communicates with nursing personnel and other department directors.
- Works beyond normal working hours, on weekends and holidays, and in other positions temporarily when necessary.
- Subject to call back during emergency conditions (e.g., severe weather, evacuation, post-disaster).
- Attends and participates in continuing educational programs.
- Subject to injury from falls, burns from equipment, odors, etc., and reactions from dust, disinfectants, tobacco smoke, and other air contaminants.
- Subject to exposure to infectious waste, diseases, conditions, etc., including TB and the AIDS and Hepatitis B viruses.
- May be subject to handling and exposure to hazardous chemicals.
Pay
$50,000–$70,000 per year.
