Responsibilities
- Receives call-outs and secures substitute staff as necessary during assigned working schedule.
- Notifies appropriate unit of call-outs.
- Coordinates staffing with agencies and communicates any issues with the Director of Nursing (DON).
- Reviews all billing statements and adjusts discrepancies.
- Works with software vendor to maintain up-to-date knowledge of scheduling system, including product upgrades or support issues.
- Ensures all nursing units have adequate 24-hour coverage.
- Assures certified nursing assistant hours comply with mandated ratios: 8:1 for day shift, 10:1 for evening shift, and 14:1 for night shift.
- Tracks time off accruals and PTO requests for staff.
- Processes and evaluates PTO requests within one week of receiving; returns forms to DON with approval or denial.
- Maintains accurate records on all nursing personnel.
- Maintains phone directories and updates as needed.
- Processes nursing employees' time records.
- Initiates problem log when necessary.
- Completes and posts the Resident Care Staffing Report for RNs, LPNs, and CNAs as required by law for long-term care facilities.
- Tracks agency hours and payments; submits hours monthly for PBJ reporting.
- Tracks physician hours and submits monthly for PBJ hours reporting.
- Coordinates approved agency staff paperwork and completion of Senior Service Agency orientation.
- Maintains agency staff credentials.
Requirements
- High school diploma or equivalent preferred.
- At least one year of previous clerical experience required.
- Ability to use standard office machines, including typewriters, copiers, multi-line phones, and facsimile machines.
- Proficient with Microsoft Outlook, Excel, and Word.
- Strong professional, organizational, and interpersonal skills to effectively relate with all members of the healthcare team.
- Adaptable to change and able to multitask on a routine basis.

Pay
Compensation Range: $21.00 - $33.60 per hour. The range reflects base salary and does not include extra shift rates or incentives tied to quality or productivity. Compensation may vary based on education, experience, skills, licenses, certification, and training.
